MFC Lawyers is a boutique family law firm with offices in Guelph and Milton Ontario. The firm is looking for a Filing Clerk. The ideal candidate has a minimum of 5 years experience in an administrative role in a law firm.
The Family Law Disclosure & Filing Clerk will support lawyers and law clerks in the preparation, organization, completion, service, and filing of family law court documents, with a particular focus on financial disclosure and document management.
Key duties and responsibilities include:
- Collecting, reviewing, organizing, and maintaining client financial disclosure, including income tax returns, Notices of Assessment and Reassessment, pay statements, employment records, bank statements, investment statements, pension information, corporate records, credit card statements, mortgage statements, property documents, and other financial records.
- Reviewing client disclosure packages to identify missing documents, incomplete periods, inconsistencies, and outstanding information, and following up with clients to obtain required documentation.
- Preparing and updating financial disclosure charts, checklists, and summaries to ensure disclosure is complete and current.
- Assisting with the preparation and updating of Financial Statements, including Forms 13 and 13.1, based on information and documentation provided by clients.
- Assisting with Net Family Property documentation and organizing supporting records relating to assets, liabilities, property ownership, excluded property, and date-of-marriage and date-of-separation values.
- Organizing and preparing disclosure packages for delivery to opposing counsel and maintaining accurate records of disclosure provided and received.
- Reviewing disclosure received from opposing parties and organizing it in a clear and accessible electronic file structure.
- Maintaining disclosure indexes and tracking outstanding disclosure requested from clients and opposing parties.
- Preparing, assembling, formatting, and filing family court documents in accordance with the Family Law Rules and applicable court requirements.
- Filing documents electronically through Ontario's applicable court filing systems and monitoring filings to ensure that documents are accepted by the court.
- Correcting and resubmitting rejected filings and communicating with court staff where necessary regarding filing issues.
- Serving court documents and disclosure on opposing counsel, parties, and other appropriate recipients and maintaining proper records and confirmation of service.
- Preparing Affidavits of Service and other routine procedural court documents.
- Downloading, saving, naming, and organizing court endorsements, orders, correspondence, pleadings, and other documents received through electronic court systems.
- Maintaining complete and accurately organized electronic client files using the firm's document-management and practice-management systems.
- Applying consistent document naming, saving, indexing, and filing conventions to ensure lawyers and staff can quickly locate documents.
- Monitoring court deadlines, disclosure deadlines, filing dates,
and other procedural requirements and bringing upcoming or outstanding items to the attention of the responsible lawyer or law clerk.
- Preparing electronic briefs, document books, financial disclosure briefs, conference materials, and other materials required by lawyers for court appearances, conferences, motions, mediations, and negotiations.
- Communicating professionally with clients to request documents, explain outstanding disclosure requirements, and follow up regarding incomplete information.
- Corresponding with opposing counsel and their staff regarding routine disclosure, filing, service, and administrative matters as directed.
- Conducting basic administrative review of documents for completeness, signatures, dates, attachments, formatting, and other filing requirements before submission.
- Maintaining confidentiality and appropriately handling highly sensitive personal, financial, and family information.
- Assisting lawyers and law clerks with other family law litigation, disclosure, document-production, and administrative tasks as required.
The successful candidate must be exceptionally organized, comfortable working with large volumes of documents, attentive to detail, capable of managing multiple deadlines simultaneously, and confident following up with clients to obtain outstanding financial disclosure.
Qualifications
- Minimum 5 years working as an administrative assistant
- Legal Assistant College Diploma is an asset
- College degree is an asset
