The opportunity

VCLA is seeking a skilled and dependable Financial Administrator to manage day-to-day financial operations and help the organization meet its responsibilities to employees, learners, funders, donors, government agencies, and the Board. The successful candidate will combine strong bookkeeping and payroll knowledge with sound judgement, careful attention to detail, discretion, and a cooperative approach.

Key responsibilities

- Process revenues, expenditures, invoices, payments, deposits, credit card transactions, expense claims, travel claims, donations, and fundraising transactions using Sage.
- Maintain complete and accurate records for the general ledger, accounts receivable, accounts payable, payroll, cash, and supporting financial documentation.
- Prepare employee payroll, participant training allowances, and wage subsidy payments accurately and on time.
- Submit payroll remittances and prepare annual T4, T4A, and Record of Employment forms.
- Administer employee health, registered pension, and retirement savings plans, including deductions and remittances.
- Complete monthly reconciliations of cash, bank, credit card, and investment accounts, and prepare the semi-annual HST public service bodies rebate.
- Maintain project-level financial records, allocate revenues and expenses with the Executive Director, and record deferred revenue monthly.
- Prepare financial statements and project reports for management,



the Board Treasurer, funders, funding applications, Board meetings, and the Annual General Meeting.
- Monitor funding agreements and project spending, and promptly identify potential underspending, overspending, or other variances.
- Prepare supporting information for the annual financial review and liaise with the external accountant or reviewer.
- Issue and document charitable donation receipts in accordance with Canada Revenue Agency requirements and VCLA procedures.

Qualifications
- Post-secondary education in accounting, business administration, finance, or a related field, or an equivalent combination of education and experience.
- Training or certification in payroll administration and a strong foundation in accounting principles.
- Demonstrated proficiency with Sage accounting software and spreadsheets.
- Experience with payroll, accounts payable and receivable, reconciliations, general ledger maintenance, and financial reporting.
- Experience working in a nonprofit or charitable organization, including project-based or restricted funding.
- Knowledge of current payroll requirements, employment standards, charitable receipting, and sound financial controls.
- Excellent accuracy, organization, time management, communication, and problem-solving skills.
- Ability to protect confidential information and work respectfully with colleagues, learners, funders, and community partners.
