Progressive Legal Solutions (PLS) is looking for a highly organized, reliable, and proactive Legal Assistant to join our growing family law practice in North York.

We are looking for someone who takes ownership of their work, manages multiple priorities, and helps our lawyers and law clerks stay organized and productive.

This is a busy, client-facing role that requires excellent phone communication, strong Microsoft 365 skills, attention to detail, and the ability to work independently.

Previous family law experience is an asset, but strong administrative skills and the right attitude are equally important.

Key Responsibilities

Office Administration and Team Support

- Provide daily administrative support to multiple lawyers and law clerks.
- Manage competing priorities, track assigned tasks, and follow up to ensure work is completed on time.
- Coordinate appointments, meetings, court dates, and internal schedules.
- Maintain organized digital client files and ensure documents are properly named, saved, and accessible.
- Prepare correspondence, format documents, and proofread materials for accuracy.
- Support general office operations and help the team maintain an efficient workflow.

Client Communication and Phone Management

- Answer incoming calls professionally and confidently.
- Conduct initial client intake, collect relevant information, and complete intake questionnaires.
- Schedule consultations and coordinate follow-up communications.
- Take accurate messages and ensure they reach the appropriate team member.
- Communicate with clients in a professional, respectful, and empathetic manner, including during difficult conversations.

Legal and Document Support

- Assist with preparing, editing, and organizing legal correspondence, affidavits, court forms,



and other documents.
- Support lawyers and law clerks with electronic court filings and document management.
- Assist with scanning, printing, document assembly, and other administrative tasks.
- Maintain confidentiality and follow established firm procedures.

Required Skills and Qualifications

- Previous experience in a legal assistant, administrative assistant, or similar professional office role.
- Strong organizational and time-management skills, with the ability to manage several tasks and deadlines simultaneously.
- Proficiency in Microsoft 365, particularly Outlook, Word, Excel, Teams, and calendar management.
- Excellent phone etiquette, professional communication, and active listening skills.
- Strong written English, proofreading skills, and attention to detail.
- Ability to work independently, take initiative, and follow through on assignments without constant supervision.
- Comfortable using digital systems and learning new software.
- Professional, dependable, and comfortable working in a busy, team-oriented environment.

Preferred Qualifications

- Previous experience in an Ontario family law firm.
- Familiarity with Clio Manage or similar legal practice management software.
- Experience with Ontario court filing portals and Case Center.
- Experience with client intake and consultation scheduling.

Work Schedule and Location
- Full-time, Monday to Friday,



9:00 AM – 5:00 PM.
- On-site position.
- 45 Sheppard Avenue East, Suite 305, North York, ON M2N 5W9.
- Conveniently located near Sheppard–Yonge subway station.

Compensation

$40,000–$55,000 per year, based on experience and demonstrated skills.

Up to $60,000 for candidates with strong family law experience and the ability to independently handle additional legal support responsibilities.
