Position Summary The Materials and Production Coordinator supports the Materials Control Manager in coordinating customer requirements, production priorities, material flow, inventory accuracy, and shipping activities. The position serves as a key link between customers and the Production, Engineering, Quality, Purchasing, and Shipping teams to help ensure orders are planned, documented, and delivered on time. The Coordinator is trained to provide operational coverage for the Materials Control Manager during absences while escalating approvals and management decisions as required.

Responsibilities and Accountabilities

Customer and Order Coordination

- Support assigned customer accounts through regular, professional communication regarding order status, schedules, delivery requirements, expedites, and other routine inquiries.
- Enter and maintain customer orders in the company ERP, Excel or intranet system, confirming price, quantity, due date, ship-to information, terms of sale, and special instructions.
- Review customer schedules, purchase orders, forecasts, and portals; identify changes or concerns and communicate them promptly to the Materials Control Manager and affected departments.
- Coordinate internal responses to customer questions by obtaining accurate information from Production, Engineering, Quality, Purchasing, and other departments.
- Assist with quotation administration, including gathering internal status updates and submitting completed quotations within customer deadlines, as assigned.
- Maintain accurate customer correspondence, order records, and supporting documentation.

Production Planning and Material Control

- Assist the Materials Control Manager with production scheduling and the release, tracking,



and closeout of work orders based on customer priorities and operational requirements.
- Monitor work-in-process and open work orders with supervisors; identify risks to completion dates and escalate delays or material shortages.
- Prepare and maintain production status reports, delivery lists, shortage information, and other planning tools used by management and operations.
- Help coordinate priorities between ADJ locations and communicate approved schedule changes to the appropriate departments.
- Verify that required material, drawings, routing information, and supporting documentation are available before production milestones, and follow up on missing items.
- Provide trained backup coverage for routine customer service, order coordination, and production planning activities during the Materials Control Manager’s absence.

Shipping and Logistics

- Prepare and review shipping documents for domestic, United States, Mexico, and overseas shipments, including bills of lading, packing slips, commercial invoices, export documentation, and other customer or customs records.
- Arrange outbound freight and local courier shipments, obtain required information from carriers, and communicate pickup and delivery details to internal stakeholders.
- Coordinate customer returns, intercompany transfers, and shipments between Canadian and United States locations.
- Maintain complete electronic and paper shipping records for tracking, reporting, trade compliance, and audit purposes.
- Coordinate with Production Associates for the safe and accurate loading and unloading of trucks and trailers.
- Maintain Controlled Goods transfer and disposal records in accordance with company procedures.

Inventory and Receiving Support

- Support receiving activities by verifying shipments against purchase orders, bills of lading, packing slips, and other records; document and report shortages, damage, or discrepancies.
- Assist with part identification, labelling, staging, and recording the movement of material between storage and production locations.




- Maintain accurate inventory transactions and transfer records between ADJ locations.
- Assist with cycle counts, work-in-process counts, reconciliations, and annual physical inventory.
- Support inventory and ordering activities for tooling vending machines and other assigned supplies.
- Investigate routine inventory discrepancies and escalate unresolved issues to the Materials Control Manager.

Qualifications

- College diploma or certificate in Supply Chain Management, Business Administration, Operations, Logistics, or a related discipline, or an equivalent combination of education and experience.
- Two or more years of experience in material control, production coordination, customer service, shipping, inventory, or a related role in a manufacturing environment.
- Working knowledge of domestic and cross-border shipping documentation; export or customs experience is an asset.
- Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
- Strong organization, follow-through, attention to detail, and the ability to manage changing priorities and time-sensitive customer requirements.
- Clear written and verbal communication skills and the confidence to coordinate with customers and employees at all levels of the organization.
- Ability to work independently while recognizing when issues require escalation or management approval.
- Must meet the requirements of the Canadian Controlled Goods Program and be able to obtain any security clearance required for the position.

Successful applicants must meet all requirements under the Canada Controlled Goods Regulations (CGR) and must be approved as mandated by Public Works & Government Services Canada and applicable contractual obligations.

Pay: $50,000.00-$60,000.00 per year
