About the Position
Victoria Skin Cancer is expanding, and we are excited to welcome a new physician to our team. To support our growing clinic, we are seeking a qualified Medical Office Assistant (MOA) to join our clinical operations team in a full-time capacity.
This is a busy, fast-paced clinical environment with a large, collaborative team. The successful candidate must be comfortable managing multiple priorities, adapting to changing demands, and working closely with physicians and colleagues throughout the day.
This is a highly patient-facing position. Our patients may be anxious, uncomfortable, or concerned about their diagnosis or procedure. We are therefore looking for someone who communicates with patience, sensitivity, professionalism, and reassurance, even during busy or challenging situations.
The ideal candidate is attentive, dependable, detail-oriented, and able to take direction, follow established procedures carefully, retain important details, and prioritize tasks appropriately. Ongoing sensitivity, professionalism, and respectful patient communication are essential to this role.
Clinical Responsibilities
- Coordinate patient flow throughout the clinic, including patient check-in, preparation for examinations and procedures, and escorting patients to examination or treatment rooms.
- Assist physicians in examination and procedure rooms as directed.
- Prepare examination and treatment rooms for minor skin surgeries and other clinical procedures.
- Assist physicians with minor skin surgeries and procedures in accordance with physician direction and established clinic protocols.
- Perform dressing changes and wound-care applications as directed.
- Prepare for and assist with Photodynamic Therapy (PDT) and Total Body Photography; on-site training will be provided.
- Communicate with patients throughout examinations and procedures, providing clear instructions, reassurance, and professional support.
- Document patient interactions accurately and maintain complete and confidential medical records.
- Respond to patient questions and inquiries by telephone and in person in a prompt, professional, and compassionate manner.
- Ensure examination and procedure rooms remain clean, appropriately stocked, organized,
and ready for the next patient.
- Operate the autoclave and clean and sterilize instruments according to applicable clinic protocols and regulatory standards.
- Support physicians and other team members as required to maintain efficient patient flow and high standards of clinical care.
Skills and Requirements The successful candidate will demonstrate:
- Strong patient-care and interpersonal skills, including the ability to communicate calmly and reassuringly with patients who may be anxious or distressed.
- A consistently skilled, respectful, and sensitive approach when interacting with patients, physicians, colleagues, and other healthcare professionals.
- The ability to work effectively as part of a large, busy, multidisciplinary team.
- The ability to remain composed, courteous, and organized in a high-volume, fast-paced clinical environment.
- Robust organizational skills and the ability to prioritize competing responsibilities appropriately.
- The ability to take direction well, follow instructions and established procedures carefully, and retain important details.
- Excellent attention to detail and a commitment to accuracy and patient safety.
- Patience, adaptability, good judgment, and a willingness to receive ongoing direction, training, and feedback.
- The ability to recognize when clarification or assistance is required and communicate appropriately with physicians and other team members.
- A high level of computer literacy, including experience with electronic medical records (EMR), internet-based applications, and Microsoft Office.
- Solid verbal and written English communication skills; additional languages are an asset.
- Comfort working on your feet for extended periods, as this is an active clinical position with limited sitting throughout much of the day.
What to Expect This is a full-time, hands-on clinical position in a busy specialty medical practice.
The role is best suited to someone who enjoys working with people, thrives as part of a team, and can balance efficiency with compassionate patient care.
Our clinic places a high value on professionalism, teamwork, sensitivity, attention to detail, accountability, and respectful communication. Training will be provided for clinic-specific procedures, and there are opportunities to develop additional clinical skills and grow within the practice.
We are committed to maintaining a positive and supportive workplace while providing our patients with a consistently high standard of care.
We recognize that a strong candidate may not meet every qualification listed above. If you have a genuine interest in clinical work, a strong aptitude for learning, and a desire to contribute, we encourage you to apply. We value people who are motivated to work, learn, and become an active part of our team.
The right person for this role is someone who can thrive in a busy, fast-paced clinical environment while remaining empathetic, respectful, patient, and skilled. You should enjoy working collaboratively with others, be comfortable taking direction and receiving feedback, and be willing to learn new skills and take responsibility for your role within the team.
While previous medical office or clinical experience is an asset, we also recognize that aptitude, reliability, work ethic, professionalism, and the ability to learn can be equally important. Training can be provided for many of the technical aspects of the position; however, a positive attitude, strong interpersonal skills, attention to detail, and a genuine commitment to patient care and teamwork are essential.
If this sounds like the type of environment in which you would enjoy working and contributing, we would be happy to hear from you—even if your previous experience does not perfectly match every requirement listed.
