Job Opening: Medical Office Assistant / Front Desk Receptionist

Position Summary
Lubdub Clinic in Amherstburg is seeking an organized, personable, and proactive Medical Office Assistant to manage front desk operations, maintain clinic workflow, and conduct patient outreach. As the primary point of contact for our practice, you will deliver a welcoming experience for patients, manage administrative workflows using our Cerebrum EMR system, uphold privacy standards, and handle proactive booking calls to optimize our clinical schedule.
Key Responsibilities
Front Desk & Patient Management
- Greet patients warmly, execute check-in/check-out procedures, and validate Ontario Health Insurance Plan (OHIP) coverage.
- Maintain a clean, organized, and welcoming reception area and waiting room.
- Process administrative paperwork, answer patient inquiries, and deliver qualified, empathetic service.
Patient Scheduling & Outbound Booking Calls
- Conduct proactive outbound calls using Cerebrum EMR to schedule patient follow-ups, routine check-ups, test result reviews, and specialist appointments.
- Answer incoming calls, manage patient inquiries, and route urgent clinical messages promptly.
- Manage confirmations, cancellations, and fill short-notice schedule openings using the EMR waitlist.
Clinic Operations & EMR Administration
- Maintain up-to-date patient charts and schedule records in Cerebrum EMR in strict compliance with PHIPA (Personal Health Information Protection Act) regulations.
- Process incoming faxes, scan medical records, and track lab orders and specialty referrals directly within Cerebrum.
- Keep exam rooms and front desk inventory fully stocked and prepped for daily operations.
- Execute daily opening and closing procedures.
Qualifications & Requirements
- Experience: 1+ years of medical office or healthcare reception experience in Ontario preferred.
- EMR Proficiency: Direct experience with Cerebrum EMR preferred (or strong proficiency in comparable Canadian EMR platforms with a quick learning curve).
- Healthcare Knowledge: Solid understanding of OHIP validation, Ontario medical scheduling protocols, and PHIPA privacy regulations.
- Communication Skills: Excellent verbal communication and an articulate, empathetic phone demeanor for patient outreach calls.
- Education: High school diploma required; Medical Office Assistant (MOA) diploma or certification is a strong asset.
