Overview
We are seeking an energetic and detail-oriented Office Administrator & Bookkeeping professional to join our dynamic team. This role offers a unique opportunity to manage essential administrative functions while ensuring accurate financial record-keeping. You will play a vital part in maintaining smooth office operations and supporting the financial health of the organization through exact bookkeeping and accounting practices.

Responsibilities
- Manage daily office operations, including scheduling, correspondence, and supply management to ensure an effective work environment
- Oversee bookkeeping activities using accounting software QuickBooks to maintain accurate financial records
- Process accounts payable and accounts receivable transactions promptly and accurately
- Perform bank reconciliations, account analysis, and account reconciliations to ensure financial accuracy
- Assist with payroll processing, ensuring timely and correct employee payments
- Conduct regular account reconciliation and budget analysis to support financial planning and reporting
- Maintain organized records of invoices, receipts, and financial documents for audit readiness and compliance
- Manage and coordinate office activities, including responding to emails,
and directing inquiries to the appropriate personnel
- Maintain and update project files, documentation, and records, ensuring accuracy
- Assist in maintaining changes to the project calendar with Project Managers
- Prepare documents for onboarding of new hires, and exiting employees
- Maintain updated files, paper and digital
Qualifications
- Proven experience with accounting software such as QuickBooks is essential
- Strong knowledge of bookkeeping principles, including accounts payable, accounts receivable, and bank reconciliation
- Familiarity with payroll processing and related compliance requirements
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Detail-oriented mindset with a commitment to accuracy in all financial transactions
- Effective communication skills to collaborate across teams and departments
- Assist with Trade Show administration paperwork and documentation
