About the Role The Office Services Clerk plays a key role in supporting the day-to-day operations of the firm, ensuring a well-organized, efficient, and professional environment. This position requires strong time management skills and the ability to prioritize multiple tasks in a fast-paced setting. The ideal candidate is a motivated self-starter with initiative, sound problem-solving abilities, and a keen attention to detail.

A team-oriented mindset and a willingness to take on tasks of all sizes are essential to success in this role.

Key Responsibilities

Duties will include, but not be limited to:

- Keeping the common areas of the firm tidy, which includes emptying and filling all the dishwashers daily, stocking the boardrooms several times daily and following up after client and in-house meetings to ensure that boardrooms are tidy and ready for use, sanitizing common touch areas in keeping with AHS guidelines;
- Reception relief,



including receiving clients, receiving telephone calls, sending and receiving emails and faxes;
- Regular mail runs and other deliveries, including scanning and forwarding all incoming correspondence to members of the firm by email;
- Setup and support for hardware and software used in employee and client meetings;
- Regular organization and ordering of supplies which may occasionally involve some heavy lifting;
- Providing general assistance in the office, which may include typing from dictation, photocopying, filing documents at various courts, delivering documents to other law firms, accepting deliveries; overseeing and reporting on any facilities-related issues;
- Assisting our paralegal team by coding, copying and scanning, confidential client documents; and
- Other duties as may be assigned from time to time.

Qualifications & Experience

- High school diploma or equivalent.
- Minimum 1-2 years of customer service, office services, reception, or administrative experience.
- Strong organizational and time management skills with the ability to manage competing priorities.
- Professional and courteous interpersonal and communication skills.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Solid attention to detail and commitment to providing excellent internal and external client service.




- Ability to perform physical tasks, including lifting, stocking supplies, setting up meeting rooms, and handling deliveries.
- Previous experience in a law firm, professional services, or corporate office environment.
- Experience providing reception coverage and managing incoming calls, mail, and visitors.
- Familiarity with office equipment, including multi-function printers, scanners, and fax machines.
- Experience supporting virtual and in-person meetings, including basic audio-visual and technology troubleshooting.
- Knowledge of court filing processes, legal document handling, or legal support services is considered an asset.
- Post-secondary education in Office Administration, Business Administration, or a related field is considered an asset.
