About the Role

Preventous and XONE are looking for an organized, detail-oriented and approachable People & Payroll Coordinator to join our team on a part-time basis.

This is an excellent chance for someone who is beginning their career in Human Resources, payroll, business administration or people operations and is looking to gain hands-on experience across the full employee lifecycle.

The People & Payroll Coordinator will support our managers and leadership team with payroll administration, benefits, onboarding and offboarding, employee records, HR systems, employee engagement and general people-related administration.

This is a support and coordination role. Department managers and leadership will continue to be responsible for performance management, significant employee relations matters, disciplinary decisions and other management-level HR responsibilities.

Key Responsibilities

Payroll & Compensation Support

- Assist with preparation and administration of payroll.
- Review employee hours and payroll information for accuracy.
- Track vacation, sick time, unpaid time off and other employee leaves.
- Process approved payroll and compensation changes.
- Track and process employee commissions and incentives.
- Assist with payroll reporting and reconciliation.
- Respond to basic employee payroll questions and escalate more complex matters when required.

Benefits Administration

- Coordinate employee benefit enrollments, changes and terminations.
- Maintain accurate benefit information and employee records.
- Assist employees with general benefits questions.
- Communicate with benefit providers when required.
- Ensure eligible employees are enrolled within applicable timelines.

Employee Onboarding Coordinate the administrative onboarding process for new employees, including:

- Creating and maintaining employee profiles in HUMI.
- Coordinating email and system access.
- Setting up access to applicable EMR systems, Bonusly, Textline, live chat and other company platforms.
- Coordinating uniforms, name tags and other employee materials.
- Preparing onboarding documents and employee files.
- Scheduling orientation and meet-and-greets with different departments and divisions.




- Tracking completion of onboarding requirements.
- Supporting managers with onboarding schedules and training coordination.
- Following up with new employees throughout their onboarding period.

Employee Records & HR Administration

- Maintain confidential and accurate employee files.
- Maintain employee information within HUMI.
- Track vacation, sick time, unpaid time off and other leave balances.
- Prepare employment confirmation letters and other standard employee documentation.
- Process approved changes to employee positions, compensation, schedules and employment status.
- Maintain HR trackers and employee records.
- Track probationary and annual performance review dates.
- Coordinate and schedule employee reviews with managers.
- Ensure required documentation is completed and filed following employee reviews.
- Maintain employee anniversary and milestone information.

Employee Relations & Engagement Support

- Serve as a friendly first point of contact for general employee administrative questions.
- Support managers with documentation related to employee concerns and workplace matters.
- Assist with gathering information and maintaining documentation for employee relations matters.
- Coordinate meetings and follow-up actions as directed by management.
- Escalate sensitive or significant employee concerns to the appropriate manager.
- Assist with employee recognition, engagement initiatives and internal events.
- Support administration of Bonusly and other employee recognition programs.

Offboarding

- Coordinate employee offboarding once approved by management.
- Prepare offboarding documentation and checklists.
- Coordinate removal of system and account access.
- Coordinate the return of company property.
- Update HUMI, payroll, benefits and other applicable systems.




- Coordinate and/or conduct exit interviews using established guidelines.
- Ensure final employee documentation is complete and properly filed.

Systems, Reporting & Process Improvement

- Maintain HR, payroll and employee trackers.
- Prepare basic reports for management.
- Help maintain HR templates, forms, checklists and procedures.
- Support the use of AI tools to improve administrative processes and efficiency.
- Identify opportunities to simplify and improve onboarding, payroll and employee administration.
- Assist with other People Operations and administrative projects as required.

What We're Looking For

- Diploma, certificate or degree in Human Resources, Business Administration, Payroll Administration or a related field is an asset.
- Recent graduates and candidates beginning their HR or payroll careers are encouraged to apply.
- Previous administrative, payroll, HR or office experience is an asset but not required.
- Strong attention to detail and organizational skills.
- Comfortable working with numbers and employee information.
- Strong written and verbal communication skills.
- Skilled and approachable when communicating with employees.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Comfortable learning new technology and software.
- Ability to manage multiple priorities and follow through on tasks.
- Experience with HUMI or another HRIS/payroll platform is an asset.
- Interest in learning more about payroll, benefits and the employee lifecycle.

Position Details Employment Type: Part-Time

Schedule: Approximately 2–3 days per week

Compensation: $25–$28 per hour, depending on experience

This role is ideal for someone who wants to build a career in People Operations and gain practical experience across payroll, benefits, onboarding, employee administration and the overall employee lifecycle while working closely with experienced managers and leadership.

Pay: $25.00-$28.00 per hour

Expected hours: 16.0 – 24.0 per week
