POSITION SUMMARY The Safety Coordinator / Administrator provides administrative and field coordination support to the Health, Safety & Training function and Timmins/Field Operations. The role supports the consistent administration of safety documentation, employee training and onboarding records, incident and WSIB reporting, inspections, audits, client requirements, and other routine safety processes.
Working closely with Safety Coordinators, Supervisors, Managers, field personnel, clients, and external agencies, the position helps ensure safety information is accurate, current, properly documented, and communicated to the appropriate individuals. The role combines strong administrative discipline with the ability to support field safety activities at active work locations.
The successful candidate will be organized, detail-oriented, self-motivated, and comfortable working independently in a fast-paced construction, mining, and industrial environment while supporting the company's safety culture and the principle of Everyone Safely Home.
KEY RESPONSIBILITIES
Safety Administration & Documentation
- Provide day-to-day administrative and coordination support to Safety Coordinators, Supervisors, Managers, and field personnel on safety-related matters and requirements.
- Maintain organized health and safety records, employee training files, training databases, and other required safety documentation.
- Prepare, track, file, and distribute routine safety reports, records, correspondence, and supporting documentation.
- Transcribe meeting minutes and assist with the preparation and follow-up of safety meetings, inspections, audits, and performance reviews.
Training, Onboarding & Compliance
- Maintain employee training records and assist with monitoring training requirements and expiries.
- Schedule and coordinate specialized training, orientations, and other required safety-related activities.
- Support employee onboarding by ensuring that required safety documentation, training records, and site requirements are complete and properly recorded.
- Assist with pre-employment testing and other approved onboarding or site-access requirements in accordance with company procedures.
Incident, WSIB & Reporting Support
- Assist with incident and accident investigation documentation, reporting requirements, and follow-up tracking.
- Support WSIB claim reporting and the organization of required supporting documentation.
- Ensure incident, inspection, corrective-action, and related safety records are maintained accurately and routed to the appropriate Safety or Management representative.
- Assist with routine internal and client safety reporting requirements.
Field Safety & Client Coordination
- Support Health & Safety audits, performance reviews, site inspections, and customer contract safety requirements.
- Correspond internally and with clients regarding routine safety documentation, training, reporting, and compliance requirements.
- Assist as a company liaison with applicable regulatory agencies and clients under the direction of authorized Safety or Management personnel.
- Work at office and field locations as required, including indoor and outdoor environments and varying weather conditions.
Safety Program Support
- Assist in developing, updating, and maintaining company health and safety policies, procedures, forms, and related program documentation.
- Support consistent implementation of company safety processes and documentation standards across Timmins and field operations.
- Promote and reinforce William Day Construction's safety culture through professional, timely, and accurate administrative and field support.
QUALIFICATIONS & EXPERIENCE
- Previous experience in a Health & Safety administrative, coordinator, or similar role in an office or site environment is preferred.
- Experience in construction, surface mining, heavy civil, industrial, or a similar operational workplace is considered an asset.
- Working knowledge of Ontario occupational health and safety requirements and safety-management practices is preferred.
- Strong proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Strong attention to detail and accuracy in data entry, record keeping, and document management.
- Robust written and verbal communication skills with the ability to work effectively with employees, supervisors, management, clients, and external agencies.
- Ability to manage multiple priorities in a fast-paced environment, work independently, and contribute effectively within a team.
- Surface Common Core is considered an asset; bilingual capability is also considered an asset.
- Valid driver's license with a clean driving abstract required.
- Current criminal record check (CPIC) and pre-employment drug testing required.
- Ability and willingness to work inside and outside, in varying weather conditions, and at various work locations as required.
WHAT SUCCESS LOOKS LIKE IN YEAR ONE
- Safety, training, onboarding, incident, WSIB, inspection, and compliance records are maintained accurately, consistently, and on time.
- Safety Coordinators, Supervisors, and Managers receive dependable administrative support and complete information needed to manage field safety requirements.
- Training and compliance requirements are well organized, traceable, and followed up in a timely manner.
- Client and internal safety documentation is coordinated professionally and supports effective field execution.
- The position becomes a dependable link between the Safety team, Timmins operations, field personnel, clients, and administrative functions while contributing positively to the company's safety culture.
KEY WORKING RELATIONSHIPS The Safety Coordinator / Administrator works closely with Health, Safety & Training personnel, Timmins/Field Operations management, Site Supervisors, employees, Human Resources, administrative personnel, clients, training providers, and applicable external agencies. The position supports both office and field safety requirements while escalating technical, regulatory, investigative, or decision-based safety matters to the appropriate authorized Safety or Management representative.
