POSITION: Senior Property Administrator, Property Management & Revenue Support

LOCATION: Toronto, Ontario (On-Site)

JOB SUMMARY: We are seeking an experienced and highly organized Senior Property Administrator to support our Property Management team and commercial real estate portfolio across the Greater Toronto Area.

The primary focus of this position will be supporting the day-to-day administrative, operational and financial requirements of the Property Management team. This is a multifunctional role that will also be cross-trained to support Accounts Receivable, Billing and Recoveries, providing flexibility to work across functions based on business priorities, team coverage, workload and special projects.

This position is ideal for an experienced commercial Property Administrator with a strong understanding of property operations and tenant administration who is interested in expanding their knowledge of the financial and accounting functions supporting commercial property management.

This is an onsite (5 days per week) position.

RESPONSIBILITIES:

Property Management

- Provide administrative support to Property Managers and the broader Property Management team.
- Maintain accurate property, tenant, lease and vendor information within Yardi and other company systems.
- Assist with tenant correspondence, notices, service requests and general inquiries.
- Assist with service contracts, purchase orders, proposals, vendor documentation and insurance certificates.
- Support lease administration and maintain accurate tenant and property records.
- Assist with monthly reporting, rent rolls, AR reporting/collections, budgeting and forecasting.
- Assist with property inspections,



deficiency tracking and required follow-up documentation.
- Support tenant move-ins, move-outs, renewals and other tenant-related administrative requirements.
- Coordinate with Accounting, Leasing, Construction, vendors and other internal stakeholders as required.
- Maintain organized electronic property files and provide administrative and project support based on portfolio needs.

AR, Billing & Recoveries Support

- Assist with tenant payment and cash applications within Yardi, including identifying unapplied or incorrectly applied payments.
- Assist with tenant billing setup, recurring charges and account adjustments.
- Review billing and tenant account information for accuracy and investigate discrepancies.
- Support operating cost/CAM and realty tax recoveries, including calculations, reconciliations and supporting schedules.
- Review applicable lease information related to tenant billing and recovery requirements.
- Assist with tenant billings and reconciliation statements.
- Research account discrepancies and coordinate resolution with Property Management and Accounting.
- Provide support and coverage for AR, Billing and Recoveries based on business requirements.

Cross-Functional & Special Projects

- Participate in special projects and cross-functional initiatives across Property Management, AR, Billing and Recoveries.
- Assist with data reviews, account reconciliation, Yardi updates, process improvements and other portfolio initiatives.
- Adapt to changing priorities and provide support across functions while maintaining accuracy and meeting established deadlines.

QUALIFICATIONS:

- 3–5 years of commercial property administration or related commercial real estate experience preferred.
- Post-secondary education in business administration, real estate, accounting or a related discipline is preferred.
- Experience supporting a commercial retail, office or mixed-use portfolio is strongly preferred.
- Working knowledge of commercial leases and commercial real estate terminology.
- Experience with accounts receivable, tenant billing, recoveries or property accounting is considered a strong asset.
- Yardi Voyager experience strongly preferred.
- Strong Microsoft Office skills, particularly Excel,



Outlook and Word.
- Experience reviewing rent rolls, AR aging reports, tenant ledgers and property accounting reports is preferred.
- Familiarity with operating cost/CAM and realty tax recoveries is considered an asset.
- Robust attention to detail, analytical and problem-solving skills.
- Excellent organization and time management with the ability to manage multiple properties, deadlines and competing priorities.
- Strong written and verbal communication skills with the ability to interact professionally with tenants, vendors and internal stakeholders.
- Ability to work independently while collaborating effectively across departments.
- Flexibility and willingness to work across Property Management, AR, Billing and Recoveries based on business needs.
- Proactive approach to learning, problem-solving and process improvement.

What Success Looks Like The successful candidate will become a dependable resource across both Property Management and revenue-related functions, with Property Management remaining the primary area of responsibility.

The objective is to develop a versatile team member who understands the relationship between lease administration, property operations, tenant billing, accounts receivable and recoveries and can provide knowledgeable support across these functions as business needs evolve.

Pay and Benefits The salary for this position is CA $70,000 -$ 82,000. This salary range may be inclusive of several career levels at NADG and will be narrowed during the interview process based on a number of factors, including the candidate’s experience and qualifications.
