We are looking for an experienced and detail-oriented Immigration Case Worker to join our team and support the RCIC with the preparation and management of client applications.
Position Overview
The Immigration Case Worker will assist with the preparation, organization, documentation, submission, and follow-up of Canadian immigration applications under the direction and supervision of the RCIC.
Key Responsibilities
- Assist the RCIC with preparing and organizing Canadian immigration applications.
- Open, organize, maintain, and update client case files.
- Review client documents for completeness, consistency, accuracy, and legibility.
- Prepare document checklists and identify missing or outstanding documentation.
- Collect, organize, scan, label, and upload supporting documents.
- Assist with completing immigration forms and application packages under the direction of the RCIC.
- Accurately enter client information into IRCC portals and case-management systems.
- Monitor application deadlines, document expiry dates, biometrics, medical examinations, passports, and other case milestones.
- Maintain accurate case notes and application status records.
- Assist with procedural correspondence and requests received from IRCC and other relevant authorities under the direction of the RCIC.
- Follow up with clients regarding outstanding documents, information, signatures, payments, appointments, and deadlines.
- Prepare draft correspondence, submission documents, cover letters, document checklists, and other case-related materials for RCIC review.
- Assist with post-submission case monitoring and follow-up.
- Conduct preliminary research regarding immigration programs, policies, procedures, and application requirements for review by the RCIC.
- Identify inconsistencies, missing information, or potential concerns and promptly bring them to the RCIC's attention.
- Maintain accurate and organized electronic and physical case files.
- Maintain strict confidentiality of client information and documentation.
- Assist with other immigration case-processing and administrative duties as required.
Qualifications and Requirements
- Minimum 1 year of experience in Canadian immigration case processing or working in an immigration consulting environment.
- Working knowledge of Canadian immigration programs and procedures.
- Familiarity with IRCC forms, document requirements, online application portals, and application processes.
- Strong understanding of immigration case-file organization and document management.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Ability to manage multiple client files and competing deadlines.
- Proficiency with Microsoft Office, PDF/document-management tools, email, and online systems.
- Ability to maintain accurate case notes and records.
- Strong client-service and interpersonal skills.
- Ability to work independently while following the direction and procedures established by the RCIC.
- Experience with immigration case-management software is an asset.
- Formal education or training related to Canadian immigration is an asset.
- Additional language skills are an asset.
