We are seeking an organized and dependable Administrative Assistant to support our business operations, consulting projects, clients, vendors and internal team.
Position Summary
Reporting to the Director, the Administrative Assistant will provide administrative and project-coordination support across the organization. The successful candidate will be comfortable managing records, coordinating schedules, communicating with clients and vendors, maintaining project trackers and assisting with routine finance and office administration.
Key Responsibilities
- Maintain organized digital and physical client, vendor, contract and project records.
- Apply consistent filing, document-naming and version-control practices.
- Coordinate calendars, appointments, meetings, agendas, minutes, action items and occasional business travel.
- Serve as an initial administrative contact for clients, vendors and business partners.
- Route requests to the appropriate team member and track follow-up items through completion.
- Maintain project trackers, status summaries, action registers and routine reporting information.
- Support delivery teams with document collection and project administration.
- Organize expenses and receipts, process approved payments and prepare supporting reconciliation records.
- Assist with onboarding, offboarding, personnel records, access requests and compliance tracking.
- Coordinate office and hybrid-work logistics, including supplies, procurement requests, service providers, mail and secure document handling.
- Protect confidential client, employee, financial, business and technical information.
- Provide administrative support for Salesforce, DevOps, cloud, infrastructure and other consulting engagements.
- Perform other reasonable administrative duties assigned by the Director.
Required Qualifications
- Previous experience in an administrative, office-coordination or project-support role.
- Strong organizational, scheduling and time-management skills.
- Professional written and verbal communication skills.
- Proficiency with Microsoft Office or comparable workplace productivity tools.
- Ability to maintain accurate records, spreadsheets, trackers and supporting documentation.
- Basic understanding of expense tracking, receipts, invoicing or bookkeeping administration.
- Ability to manage confidential information with discretion.
- Strong attention to detail and ability to follow up on multiple priorities.
- Legal authorization to work in Canada.
Preferred Qualifications
- Experience supporting an IT consulting, professional-services or project-delivery workplace.
- Familiarity with project-management, CRM, document-management or bookkeeping software.
- Education or training in office administration, business administration or a related field.
- Experience coordinating onboarding, access requests, vendor documentation or compliance records.
Pay: $58,000.00-$64,000.00 per year
Work Location: Hybrid remote in Toronto, ON
