About the Role
NEXT Niagara Health is seeking an organized, and motivated Administrative & Clinic Development Manager to join our team.
This hands-on role combines clinic administration, patient relations, marketing, community engagement, business development, and leadership support. Working closely with the Clinic Operations Manager and leadership team, the successful candidate will support day-to-day clinic administration while helping strengthen community partnerships, referral relationships, clinic visibility, and growth.
This position is ideal for someone who enjoys variety and is comfortable moving between administrative responsibilities, patient support, marketing initiatives, community outreach, and clinic development.
Key Responsibilities
Administration & Patient Relations
- Provide administrative and reception support, including patient communication, scheduling, check-in/check-out, telephone and email inquiries, documentation, billing, and general clinic support.
- Assist with MVA/HCAI files, documentation, submissions, and billing as required.
- Serve as a point of contact for patient questions, concerns, and feedback, ensuring matters are addressed professionally and escalated to the Clinic Operations Manager when appropriate.
- Problem-solve day-to-day patient and clinic concerns when the Clinic Operations Manager is unavailable.
- Support administrative projects, reporting, documentation, and clinic initiatives.
- Maintain required pool records and perform routine pool-water chemical testing. Training will be provided.
Marketing & Clinic Development
- Support marketing and promotional initiatives to increase awareness of NEXT Niagara Health and its services.
- Identify, establish, and maintain relationships with healthcare providers, businesses, community organizations, and referral partners.
- Develop opportunities to strengthen referral relationships and support clinic growth.
- Represent NEXT Niagara Health at healthcare, business, networking, and community events.
- Coordinate clinic participation in community outreach, partnerships, events, and promotional activities.
- Support digital marketing and monitor online reviews, patient feedback, and the clinic's digital reputation.
- Identify new marketing, partnership, referral, and community-development opportunities and present recommendations to clinic leadership.
Leadership & Team Collaboration
- Participate in leadership meetings and contribute to clinic initiatives and strategic discussions.
- Collaborate with the Clinic Operations Manager to support clinic priorities and implement approved initiatives.
- Work with administrative staff and clinical providers to support effective communication and a positive, patient-centered clinic environment.
- Provide professional guidance and support to team members where appropriate while respecting the expertise and responsibilities of clinical and administrative colleagues.
- Foster a respectful and collaborative workplace culture focused on communication, accountability, and continuous improvement.
Qualifications
Required
- Bachelor's degree in Healthcare Administration, Business Administration, Marketing, or a related discipline.
- Previous experience working in a healthcare clinic, rehabilitation setting, multidisciplinary healthcare environment, or similar patient-care setting.
- Strong administrative, organizational, problem-solving, and project-management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Demonstrated leadership capabilities with a cooperative,
team-oriented approach.
- Strong relationship-building skills and the ability to communicate professionally with patients, staff, healthcare providers, businesses, and community partners.
- Strong digital literacy and comfort using clinic-management systems, administrative software, and digital platforms.
- Ability to manage multiple priorities, take initiative, exercise sound judgment, and work independently when required.
- Willingness to provide hands-on administrative and reception support based on clinic needs.
Preferred
- Minimum 2 years of relevant experience in healthcare administration, healthcare marketing, patient relations, business development, community relations, or a related role.
- Experience with MVA files, HCAI processes, billing, and documentation.
- Experience within a multidisciplinary rehabilitation environment, including physiotherapy, chiropractic, massage therapy, or related services.
- Experience with digital marketing, community outreach, referral development, business development, or strategic partnerships.
- Demonstrated experience supporting patient/customer satisfaction and organizational growth.
Contract Term
This is a full-time, 12–18 month contract position, with the potential for continued employment based on organizational needs, performance, and mutual fit.
