City of Brampton is located at 175 Sandalwood Pkwy. The company is currently looking for applications for the role of Coordinator, Elections. We are seeking a self-disciplined individual with exceptional interpersonal skills. The chosen applicant will be required to join and begin their duties as soon as possible. This is a temporary full time position for a 4-month term.

Location: 175 Sandalwood Pkwy
The candidate will be responsible for ensuring election administration remains in compliance with the Municipal Elections Act (MEA) and other relevant legislation.
The candidate will provide day-to-day coordination, guidance and support for defined programs, processes, policies, practices and project initiatives to meet operational needs and corporate service standards.
The candidate will be responsible for developing and implementing election policies and procedures for municipal elections and by-elections.
The candidate will be responsible for managing projects involving the research, procurement and implementation of election equipment.
The candidate will be responsible for updating voting subdivision boundaries utilizing GIS technology.
The candidate will work with Information Technology on the development and maintenance of system information used for managing election workers, candidates, voters’ lists, locations and vote tabulation.
The candidate will be responsible for organizing voting locations and coordinating with internal and external clients, including Community Services, Brampton Library, School Boards, the Region of Peel, community churches and nursing homes.
The candidate will be responsible for managing the complete voting location process, including assigning voters to locations, conducting voting location inspections and accessibility needs assessments, securing permits, developing floorplans and arranging all required Election Day supplies.
The candidate will be responsible for organizing Candidate Information Nights as well as other public information sessions as required.
The candidate will provide overall supervision of operations and procedures during Advance Vote days and Voting Day.
The candidate will be responsible for reviewing and maintaining the divisional election procedures manual.
The candidate will be responsible for maintaining an inventory of all election supplies and technology between events.
CUSTOMER SERVICE
The candidate will be responsible for coordinating public outreach events.
The candidate will act as a key source of contact and provide guidance,



advice and support to ensure coordination meets operational needs and corporate service standards. The candidate will elevate complex issues to the appropriate level for resolution.
The candidate will be responsible for building and maintaining relationships with cross-functional departments, teams and management to support coordination and gain a thorough understanding of operational needs.
COMMUNICATION AND REPORTING
The candidate will be responsible for preparing reports to Council on changes to the Municipal Elections Act, policies, procedures, and new initiatives related to delivering the election project.
The candidate will be responsible for updating information on the internal and external Election website.
The candidate will be responsible for arranging the publication of required Election notices through various media outlets.
The candidate will be responsible for creating all written materials for circulation to candidates, staff/volunteers, the Compliance Audit Committee, and the public.
The candidate will be responsible for preparing management reports, presentations, and general ad hoc information accurately within established timelines.
The candidate will be responsible for creating and maintaining documentation and ensuring necessary sign-offs and approvals comply with policies and confidentiality requirements.
CORPORATE CONTRIBUTION
The candidate must support the establishment of the Compliance Audit Committee.
The candidate must conduct research using internal and external resources to gain insight into market trends, current programs, processes and practices, support management, and recommend ways to improve business processes, service solutions and best practices.
The candidate must maintain knowledge of collective agreements, City policies and practices, legislation, regulations and Standard Operating Procedures (SOPs).
STAFF GUIDANCE AND DIRECTION
The candidate must provide operational guidance and direction to Election staff and volunteers by coordinating and supervising an election team overseeing the employment of 2,000 people to deliver the election project.
The candidate must support staff and prioritize and organize daily work direction to meet operational effectiveness.
The candidate will be required to coach, mentor and provide guidance as needed to meet operational effectiveness.
The candidate will be responsible for providing input into performance reviews as required.
The candidate will be required to recruit,



train and supervise Voting Day and project staff.
The candidate will be required to participate in hiring the Election Assistant and other key election team members.
The candidate must act as the main point of contact for candidates, staff/volunteers and the public while ensuring a high level of customer service.
BUDGET SUPPORT
The candidate will be responsible for managing resources and expenses effectively at all times in accordance with corporate policies and guidelines.
TEAMWORK AND COOPERATION
The candidate will be responsible for managing and providing guidance to election staff, especially assistants assigned to support the portfolio.
The candidate must participate in project coordination and team meetings as required to meet operational needs.
The candidate will be required to work well within diverse groups in support of operational goals and objectives.
The candidate must demonstrate corporate values at all times.
The candidate must participate as a member of a cross-functional team.
The candidate must provide support and backup as necessary.
The candidate must manage special projects as assigned.
Job Requirements The candidate must have a post-secondary degree or diploma in Public Administration, Business, or an equivalent qualification.
The candidate must have a minimum of three years of experience in municipal government, with an emphasis on elections.
The candidate must have three years of supervisory experience.
The candidate with project management experience will be considered an asset.
The candidate should have thorough knowledge of municipal, regional, provincial, and federal governments and applicable legislation.
The candidate must be able to identify business needs and initiate and coordinate project resource requests.
The candidate must have solid customer service and people management skills and work with internal and external customers to meet corporate service standards.
The candidate must have solid organizational skills, strong attention to detail, and the ability to coordinate activities and tasks while managing conflicting priorities and timelines.
The candidate must have exceptional communication and interpersonal skills.
The candidate must be proficient in report writing and MS Office.
The candidate must have knowledge of municipal election legislation and practices, along with exposure to leading-edge election-related technology.
Preference will be given to students who have permanent residency in Brampton.
Security and safety The candidate will be required to undergo a criminal record search to confirm that they have no criminal record for which a pardon has not been granted.
Work conditions and physical capabilities The candidate must be able to perform some heavy lifting of up to 40 lbs as required.
