POSITION SUMMARY
Reporting directly to the HR Manager, the HR Programs & Safety Coordinator plays a key role in supporting Cedars Recovery’s human resources programs, staff training, and workplace safety initiatives. This role manages new employee orientations, coordinates training and certification tracking, supports recruitment activities, and co-leads employee engagement and OH&S; committees. The Coordinator works closely with the HR Manager to ensure compliance, foster a safe and positive workplace culture, and maintain Cedars’ high standards of excellence and compassionate care.
DUTIES & RESPONSIBILITIES
HR Program Support
· Support recruitment activities, including preparing job descriptions and postings, coordinating interviews, participating in candidate assessments, and conducting reference checks.
· Maintain accurate, complete, and confidential employee records within Cedars’ HR and document-management systems.
· Assist the HR Manager with the development, review, communication,
and implementation of HR policies, procedures, and programs.
· Work with department managers to identify training, safety, and HR program needs and coordinate appropriate resources or follow-up.
· Co-chair the Social Committee and coordinate approved employee events within established budgets.
· Collaborate with Marketing to prepare and distribute the weekly Leaflet staff newsletter.
· Prepare reports and updates for the HR Manager concerning recruitment, orientation, training compliance, certification renewals, and assigned HR initiatives.
· Maintain accurate and confidential personnel records in compliance with policy and legislation.
· Perform other related duties as assigned by the HR Manager.
Orientation Training and Compliance
· Coordinate new employee onboarding and deliver Cedars’ organizational orientation program.
· Maintain and update orientation materials in consultation with the HR Manager and department leaders.
· Coordinate the development, delivery, and evaluation of role-specific training with department leaders and subject-matter experts.
· Maintain accurate training and certification records, monitor expiry dates, and provide employees and managers with timely renewal reminders.
· Schedule mandatory training and track attendance, completion, and outstanding requirements.
· Support licensing and accreditation readiness by gathering evidence, maintaining assigned records, monitoring action items, and assisting departments with documentation requirements.
· Identify training or compliance gaps and elevate unresolved concerns to the HR Manager.
Workplace Health and Safety
· Serve as the employee Co-Chair of the Joint Occupational Health and Safety Committee and support meeting coordination, recordkeeping, recommendations, and follow-up.
· Coordinate emergency preparedness drills, document participation and outcomes, and track identified follow-up actions.
· Maintain the Emergency and Disaster Response Plan in consultation with leadership and subject-matter experts.
· Support workplace inspections, safety communications, and other prevention initiatives assigned through the OH&S; Committee or HR Manager.
· Maintain assigned health and safety records and monitor outstanding corrective actions.
· Serve as a designated workplace first aid attendant when scheduled, if that is an intended requirement of the position.
· Promote protected work practices and promptly elevate identified hazards or compliance concerns through the appropriate reporting channels.
QUALIFICATIONS
· Diploma, certificate, or other post-secondary education in a related field, or an equivalent combination of education and relevant experience.
· Minimum of two years of related experience with in-patient or addictions treatment.
· Working knowledge of human resources practices, employee confidentiality, records management, and workplace health and safety requirements.
· Experience coordinating, tracking, and organizing programs.
· Strong verbal, written, presentation, and interpersonal communication skills.
· Strong organizational skills, attention to detail, and ability to manage multiple priorities and deadlines.
· Demonstrated ability to handle sensitive information with discretion, professionalism, and sound judgment.
· Proficiency with Microsoft 365, Canva, and other productivity tools and HR platforms.
· Ability to work independently while collaborating effectively with employees, managers, committees, and external partners.
· Current First Aid and CPR certification, or the ability to obtain.
· Satisfactory Vulnerable Sector Criminal Record Check.
CONDITIONS OF EMPLOYMENT
· Three-month probationary period and participation in annual performance reviews.
· Compliance with Cedars Recovery’s policies, Employee Code of Conduct, confidentiality requirements, and professional-boundary expectations.
· Ability to work the established schedule and participate in occasional training, drills, meetings, or events outside regular hours when required.
· Candidates who identify as being in personal recovery must be actively engaged in a recovery program and substance-free for a minimum of two years.
