Position Overview ILS has an exciting opportunity for an Administrative Assistant to join our Child Development Services Team. Reporting to the Director, Child Development Services, this position provides administrative and operational support to the department by performing a variety of clerical, coordination, and communication tasks. This role is responsible for ensuring accurate documentation, maintaining electronic records, supporting internal and external communications, and assisting with the development of organizational materials such as newsletters and promotional content. The position plays a key role in maintaining efficient workflows and supporting service delivery through timely and accurate administrative support.
Perform accurate data entry, document processing, and records management while maintaining data integrity.
Upload, organize, and maintain electronic files in ShareVision and other systems, ensuring documentation is current and compliant.
Prepare, proofread,



and distribute professional correspondence, including emails, letters, and internal communications.
Respond to inquiries and coordinate with care providers and external stakeholders to obtain required documentation.
Assist with the creation and distribution of newsletters, flyers, and promotional materials to support organizational initiatives.
Maintain efficient digital filing systems and provide general administrative support to team members.
Contribute to process improvements by enhancing administrative workflows and operational efficiency.
Qualifications Diploma in Office Administration or a related field, or equivalent experience.
Minimum two (2) years of experience in an administrative or clerical support role.
Strong data entry and documentation management skills.
Ability to communicate effectively, both orally and in writing.
Excellent organizational and time-management skills.
Ability to work independently and maintain accuracy in a fast-paced environment.
Demonstrated professionalism and ability to maintain confidentiality.
Dedicated to ongoing learning and keeping up with industry trends and best practices.
Strong proficiency in scheduling software and Microsoft Office Suite.
Additional Position Information The successful candidate must demonstrate flexibility in responding to service needs and providing support to the Children's Respite Coordinators and contracted care providers as required.
Requirements This role requires the incumbent to undergo a Police Information Check (PIC), and a Vulnerable Sector Check by the Ministry of Justice.
