Project Overview
The Agency's Customer Experience Team advances customer experience (CX), user experience (UX), service design, experience measurement, customer insights, and Voice of Customer (VoC) activities that support the Agency's digital transformation priorities. Working across programs and initiatives, the team helps improve the experiences of patients, caregivers, providers, and partners by supporting the transition to more connected, digital-first healthcare services and driving adoption, usability, and continuous improvement.
Key Responsibilities
Lead the development, maintenance, and reporting of operating plans, roadmaps, implementation plans, workback schedules, milestones, dependencies, and delivery plans that support organizational priorities and digital transformation initiatives.
Coordinate and oversee multiple concurrent initiatives, ensuring alignment across projects, teams, and stakeholders; monitor progress, deliverables, timelines, risks, dependencies, and outcomes.
Develop executive reports, dashboards, presentations, briefing notes, and status updates; collect, synthesize, and communicate progress, priorities, risks, issues, dependencies, and key decisions.
Lead governance and project management forums, including agenda development, meeting facilitation, action and decision tracking, issue escalation, and follow-up activities.
Facilitate collaboration across internal teams, external partners, vendors, clinicians, and health system stakeholders; coordinate engagement activities and communications.
Facilitate procurement activities, vendor and consultant engagements, contract management, deliverable tracking, and performance oversight.
Identify, assess, monitor, and mitigate project risks, issues, dependencies, and organizational impacts; develop mitigation plans and support stakeholder readiness and adoption.
Coordinate performance reporting, dashboard development, project documentation, lessons learned, project closure activities, and benefits realization assessments.
Prepare and maintain recurring reporting, dashboards, briefing notes, presentations, and status updates for team, Director, Executive, SLT, governance, and Ministry audiences.
Develop and maintain operating plans, implementation roadmaps, workback schedules, milestones, and resource plans.
Facilitate procurement activities, vendor onboarding, contract administration,



deliverable tracking, invoice review, and vendor performance management.
Coordinate governance and leadership forums, including agendas, action logs, decision tracking, issue escalation, and follow-up activities.
Maintain project plans, budgets, RAID logs, dependency trackers, implementation schedules, and mitigation plans.
Coordinate activities across internal teams, external partners, vendors, and leadership to ensure alignment on priorities, timelines, and deliverables.
Support portfolio planning, prioritization, KPI tracking, performance reporting, benefits realization, and continuous improvement activities.
Qualifications & Requirements
REQUIRED: Must be able to work 3 days onsite per week in Toronto
7-10 years of progressive project management experience leading complex, cross-functional projects and strategic initiatives in large organizations
Advanced project and program management expertise, including planning, scheduling, governance, risk and issue management, dependency management, resource coordination, and delivery oversight
Strong stakeholder management and collaboration skills, with experience working across executive leadership, operational teams, external partners, vendors, and multidisciplinary teams
Exceptional communication and reporting skills, including the development of executive briefings, presentations, status reports, dashboards, governance materials, operating plans, roadmaps, and strategic planning documents
Experience supporting executive, governance, and Ministry reporting, with the ability to synthesize complex information into clear insights and recommendations
Demonstrated ability to manage multiple concurrent initiatives, competing priorities, and deliverables in fast-paced, complex environments
Experience facilitating procurement, vendor, and contract management activities, including coordinating requirements, deliverables, timelines, and stakeholder engagement
Strong analytical and problem-solving skills,



with experience assessing risks, developing mitigation strategies, and supporting decision-making
Experience facilitating governance forums, meetings, workshops, and working groups, including tracking actions, decisions, issues, and follow-up activities
Advanced proficiency with Microsoft 365 tools, including PowerPoint, Excel, Word, Teams, SharePoint, and Copilot
Experience leading complex, cross-functional initiatives and managing project plans, timelines, risks, issues, dependencies, resources, and deliverables
Experience developing operating plans, implementation plans, roadmaps, workback schedules, and governance materials
Experience preparing executive briefings, presentations, dashboards, status reports, and reporting packages for senior leadership and governance committees
Experience leading procurement activities, facilitating vendors/consultants, and overseeing contract deliverables
Demonstrated experience coordinating multiple concurrent initiatives and competing priorities, supporting implementation, operational planning, performance reporting, and project delivery activities
NICE TO HAVE: PMP, Agile, Scrum, or other recognized project management certification
Experience leading complex projects, programs, or transformation initiatives within healthcare, digital health or similarly complex environments
Experience developing and managing operating plans, implementation roadmaps, governance processes, executive reporting, and performance reporting
Experience supporting executive leadership, steering committees, governance bodies, and Ministry-facing reporting
Robust stakeholder engagement and facilitation skills, with experience coordinating cross-functional teams, vendors, clinicians, and external partners
Procurement, vendor, and contract management experience
Change management and organizational readiness experience
Experience with performance measurement, dashboards, metrics, and data-driven reporting
Experience leveraging Microsoft 365 Copilot and AI-enabled productivity tools to support project planning, reporting, meeting management, documentation, analysis, and executive communications
