Job Summary: Reportingto the Director, Planning and Operations, the Graduate Program Assistant (GPA) provideshigh-level administrative support to all graduate programs in both the Frazer Facultyof Education and the Faculty of Social Science and Humanities. The GPA worksclosely with both Faculties’ Associate Deans, Graduate Program Directors, andthe Deans’ Office.
Responsibilities and Accountabilities
Act as primarycontact for all graduate students from admission to graduation, providingsupport related to course selection, program requirements, scheduling andregistration
Support GraduateProgram Directors and Associate Deans (Graduate Studies), includingcoordinating and attending Graduate Committee and Graduate AdmissionCommittee meetings, if requested
Provideinformation to prospective Graduate students about programs, admissionrequirements, application procedures and general aspects of the graduateprograms
Liaise with theSchool of Graduate and Post-Doctoral Studies (SGPS) to ensure compliancewith all SGPS policies
Assist with theassignment of Graduate student Teaching Assistantships, and the processingof Graduate Research Assistantships
Coordinate allthesis oral examinations, major paper and major research projectcompletions, PhD candidacy exams, and PhD comprehensive exams, includingscheduling, documentation submission and transcript audits
Ensure accurateinformation is distributed to all students and faculty regarding graduatestudent policies or announcements
Coordinate allGraduate recruitment, orientation and outreach events
Assist in thedevelopment of all graduate program recruitment and promotional materialssuch as admissions publications, brochures, videos and web pages
Provide generaladministrative program support including managing of correspondence,filing, and maintaining distribution lists
Required Skills

Demonstratedability to exercise positive judgment, take initiative, and problem solve
Ability to manage many tasks simultaneously in a fast-paced environment.
Technically proficient in the use of Microsoft Office applications andGoogle Workspace suite
Workingknowledge of web applications and previous experience with Banner would beconsidered an asset
Proven teamplayer dedicated to excellent customer service with public relationsskills
Willingand able to work flexible hours to meet deadlines and to attend evening orweekend events and activities
Required Education
Completion of a two-yearpost-secondary education or equivalent combination of education andexperience
An equivalentcombination of education and related experience may be considered
* Verification of Academic credentials may be required
Required Experience
A minimum of oneyear of related successful experience in a university environment
