Join Our Vancouver Operations Team

Maritime-Ontario Freight Lines Limited is seeking a highly organized and motivated Scheduling Associate to join our Vancouver terminal in Surrey, BC.

This is an excellent opportunity for someone with experience in LTL transportation, logistics, dispatch, customer service, or freight operations who enjoys working in a fast-paced setting and taking ownership of their responsibilities.

As a Scheduling Associate, you will play an important role in keeping freight moving through our network. You will coordinate delivery appointments, monitor inbound shipments, communicate with customers and operations teams, and ensure freight is serviced in accordance with customer Required Arrival Dates (RAD).

We are looking for someone who is proactive, organized, comfortable working with technology, and understands the importance of meeting customer service commitments.

What You’ll Be Doing

- Coordinate and schedule delivery appointments for inbound LTL freight.
- Use customer scheduling portals including Amazon, C3, Emerge, DataDocks, and other client-specific platforms.
- Monitor inbound shipments and secure appointments that support customer RAD and service requirements.
- Work closely with our Vancouver dispatch and operations teams to coordinate daily delivery priorities.
- Communicate and coordinate with Maritime-Ontario team members across our national terminal network regarding inbound freight, appointment requirements, and service issues.
- Maintain accurate and timely shipment, appointment, and delivery information within our TruckMate Transportation Management System (TMS/ERP).
- Proactively identify shipments at risk of missing customer service requirements and work with operations to develop solutions.
- Communicate appointment changes, delays, exceptions, and other service-related information to customers and internal teams.

- Respond to customer inquiries and provide accurate and timely updates regarding their freight.
- Maintain accurate records and ensure appointment and shipment information is properly documented.
- Escalate potential service failures before they impact the customer.
- Support the Vancouver operations team with additional administrative and operational responsibilities as required.

What We’re Looking For

The ideal candidate is a self-starter who is organized, dependable, detail-oriented, and comfortable managing multiple priorities within a busy transportation setting.Qualifications & Experience:

- Previous experience within an LTL transportation, trucking, freight, logistics, distribution, or similar environment is preferred.
- Experience with freight appointment scheduling and customer delivery portals is considered an asset.
- Experience with TruckMate or another Transportation Management System (TMS) is considered an asset.
- Strong computer skills and the ability to quickly learn new software and online platforms.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Excellent attention to detail and accuracy.
- Ability to prioritize multiple shipments, appointments, and deadlines.
- Comfortable working in a fast-paced, deadline-driven environment.
- Ability to work independently while also contributing as part of a team.
- A proactive approach to identifying problems and finding solutions.

What Success Looks Like in This Role

You stay ahead of the freight rather than waiting for problems to occur.

You understand which shipments require appointments, when they need to be delivered, and what needs to happen operationally to meet those commitments.

You communicate clearly with dispatch, customers, and other terminals and take ownership of issues through to resolution.

Most importantly, you understand that every appointment represents a commitment to our customer and that communication, accuracy, urgency, and follow-through are critical to providing reliable transportation service.
