Triple Eight Transport Inc. is growing and is in search for a proven strong communicator with proven relationship or team building skills to join our dynamic team!
The Executive Assistant provides high-level support to the Director, with a strong focus on time management, communication, leadership coordination, and execution.
This role goes beyond traditional administrative support. The Executive Assistant will participate in key meetings, translate decisions into clear actions, coordinate across stakeholders, and drive consistent follow-through on commitments and timelines.
Responsibilities include:
- Executive & Time Management: Manage the Director’s calendar, priorities, meetings and follow-ups; ensure effective use of time and preparation for key discussions.
- Meeting Management: Prepare agendas and materials; attend leadership and business meetings with or on behalf of the Director; capture concise minutes, decisions and action items.
- Action Planning & Execution: Translate discussions and decisions into clear action plans with owners, deliverables and deadlines.
- Follow-Through & Accountability: Maintain action trackers, proactively follow up with leaders and action owners, challenge overdue commitments and escalate gaps when required.
- Stakeholder Management: Coordinate effectively with senior leaders, employees, customers, vendors and other stakeholders on behalf of the Director.
- Executive Communication: Prepare professional correspondence, presentations, reports, meeting materials and executive updates.
- Cross-Functional Coordination: Keep priorities and initiatives moving by connecting stakeholders, coordinating dependencies and addressing execution gaps.
- Executive Visibility: Provide concise updates on completed, pending and delayed actions, including risks and matters requiring the Director’s attention.
- Confidentiality & Judgment: Handle sensitive business, employee and leadership information with professionalism, discretion and sound judgment.

Qualifications & Experience
- Diploma or degree in Business Administration, Management, Communications or a related field preferred.
- 3–5+ years of experience in an Executive Assistant, Executive Coordinator, Senior Administrative or similar role.
- Experience supporting a Director, President or senior business leader preferred.
- Demonstrated ability to manage executive schedules, meetings, presentations, action plans and cross-functional follow-through.
- Strong proficiency in Microsoft 365, particularly Outlook, PowerPoint, Excel, Word and Teams.
- Experience in transportation, logistics or a fast-paced operational environment is an asset.

Pay: $65,000.00-$75,000.00 per year
