Senior Property Manager – Residential Portfolio

Location: Niagara Region, Ontario
Employment Type: Full-time

About the Role

A privately owned and growing real estate company is seeking an experienced, hands-on Senior Property Manager to oversee a portfolio of residential and mixed-use properties throughout the Niagara Region.

This is an operational leadership position for someone who takes ownership, solves problems quickly, and holds themselves and others accountable. The successful candidate will oversee leasing, rent collection, arrears, maintenance coordination, tenant relations, inspections, regulatory compliance, staff performance, and the daily execution required to keep the properties occupied, well maintained, and operating efficiently.

This is not a role for someone who simply responds to emails, forwards maintenance requests, or waits for direction. We are looking for someone who follows issues through to completion and takes responsibility for portfolio performance.

Key ResponsibilitiesPortfolio Operations

- Oversee the day-to-day operation of assigned residential and mixed-use properties
- Conduct regular property inspections and identify maintenance, safety, cleanliness, and compliance concerns
- Create action plans, assign responsibility, and follow through until issues are fully resolved
- Maintain organized records for each property, including inspections, work orders, notices, leases, and tenant communications
- Help develop and enforce consistent operating procedures across the portfolio

Leasing and Occupancy

- Monitor vacancies, upcoming move-outs, leasing activity, and unit-turn timelines
- Coordinate listings, showings, applicant screening, lease preparation, and move-ins
- Ensure vacant units are renovated, cleaned, photographed, marketed, and leased promptly
- Review rents and recommend pricing based on market conditions
- Track leasing performance and hold the leasing team accountable for results
- Reduce vacancy loss by identifying delays before they become expensive problems

Rent Collection and Arrears

- Monitor rent collection and outstanding balances
- Communicate with tenants regarding missed or late payments
- Ensure statutory notices and Landlord and Tenant Board applications are prepared and filed accurately and on time
- Coordinate payment plans, legal files, and enforcement with management and legal professionals
- Maintain clear reporting on arrears, collection activity, and expected outcomes





Maintenance and Capital Work

- Review, prioritize, and assign maintenance requests
- Coordinate employees, contractors, vendors, and suppliers
- Confirm work has been completed properly before invoices are approved
- Obtain competitive pricing and challenge unnecessary or excessive costs
- Monitor unit turns, repairs, preventative maintenance, and small capital projects
- Respond appropriately to emergencies and participate in an after-hours escalation schedule
- Identify recurring maintenance problems and implement long-term solutions

Tenant Relations

- Maintain professional, fair, and well-documented communication with tenants
- Address complaints promptly without making commitments outside company policy
- Manage difficult conversations, disputes, lease violations, and behavioural issues
- Ensure tenant communication and maintenance requests are documented through Buildium
- Balance tenant satisfaction with the financial and operational interests of the property

Team Leadership and Accountability

- Coordinate and supervise leasing, maintenance, cleaning, and administrative staff
- Set priorities, assign tasks, establish deadlines, and verify completion
- Address missed deadlines and performance problems directly
- Run regular operational meetings and report material issues to ownership
- Help build a culture of urgency, accountability, professionalism, and continuous improvement

Financial and Performance Reporting

- Review property-level expenses and identify opportunities to reduce waste
- Assist with annual budgets and operating plans
- Review invoices and supporting documentation before approval
- Track key performance indicators, including:
- Occupancy and vacancy
- Leasing activity
- Unit-turn time
- Rent collection and arrears
- Outstanding maintenance requests
- Work-order completion time
- Tenant complaints
- Operating expenses
- Provide ownership with concise weekly reporting that identifies problems, responsible parties, required decisions, and deadlines

Qualifications

- Minimum 5 years of property-management experience, preferably with a multifamily residential portfolio
- Demonstrated experience managing multiple properties, employees, contractors, and competing priorities




- Strong working knowledge of Ontario’s Residential Tenancies Act and Landlord and Tenant Board processes
- Experience with leasing, arrears management, N4 and L1 processes, unit turns, inspections, and maintenance coordination
- Comfortable reviewing invoices, budgets, rental reports, and property-level financial information
- Strong written and verbal communication skills
- Highly organized and capable of following issues through to completion
- Comfortable using property-management software; Buildium experience is an asset
- Valid Ontario driver’s licence and reliable vehicle
- Availability to attend properties throughout the Niagara Region and respond to occasional emergencies

This will not be a good fit for someone who requires constant direction, avoids difficult conversations, or considers forwarding an issue to someone else to be the same as resolving it.

Compensation

Competitive salary based on experience, with the potential for performance-based compensation tied to measurable portfolio results.
