Connect Dot Management Inc. is a full-service event management company based in London, Ontario. We plan and deliver a diverse portfolio of conferences, corporate events, association programs, public events and large-scale experiences for clients across Ontario and Canada.
Our team works collaboratively to take events from concept through execution, managing the details, relationships and logistics that create exceptional experiences.
We are looking for an Event Coordinator to join our team. Someone who is organized, proactive, detail-oriented and excited to build their career in the event industry.
The Role
The Event Coordinator is an integral member of the Connect Dot Management team, supporting the planning, coordination and delivery of multiple client events and projects.
Working alongside our event management team, you will be involved in all stages of event delivery, from planning, registration and supplier coordination through to on-site execution and post-event wrap-up.
This is a hands-on role for someone who enjoys variety, thrives in a fast-paced environment and can confidently manage multiple priorities and deadlines. No two events are exactly alike, so adaptability, initiative and a willingness to jump in where needed are essential.
What You'll Do
As an Event Coordinator, your responsibilities will include:
- Support the planning and execution of multiple events and client projects simultaneously.
- Coordinate event logistics, timelines, schedules and project deliverables.
- Set up and manage event registration systems, attendee lists and event technology platforms.
- Coordinate and communicate with venues, suppliers, exhibitors, sponsors and other event stakeholders.
- Prepare event materials including presentations, invitations, correspondence, forms, run sheets, scripts and briefing documents.
- Draft, proofread and edit event communications and collateral.
- Support attendee and client communications by email, telephone and in person.
- Conduct research and sourcing related to venues, suppliers, event services and other project requirements.
- Maintain accurate event files, databases, tracking documents and project information.
- Participate in client and internal planning meetings and follow up on assigned action items.
- Provide hands-on, on-site support for event set-up, registration, execution and wrap-up.
- Troubleshoot issues as they arise and help ensure events are delivered professionally, efficiently and according to client expectations.
- Provide general project and administrative support to the Connect Dot team as required.
What We're Looking For
The successful candidate will bring a combination of event experience, strong organizational skills and a client-service mindset.
Ideally, you have:
- 1–3 years of experience in event coordination, conferences, hospitality, project coordination or a related client-service environment.
- A college diploma or university degree in event management, hospitality, communications, public relations, business or a related field, or an equivalent combination of education and relevant experience.
- Excellent organizational and time-management skills with exceptional attention to detail.
- The ability to manage multiple projects, priorities and deadlines simultaneously.
- Strong written and verbal communication skills.
- A proactive approach, you anticipate what needs to happen rather than waiting to be asked.
- Strong problem-solving skills and the ability to remain calm and professional when plans change.
- Confidence communicating with clients, attendees, suppliers, exhibitors and other stakeholders.
- Strong proficiency with Microsoft Word, Excel and PowerPoint.
- Comfort learning and working with event registration platforms, conference apps and other event technology.
- Experience with tools such as Asana, Microsoft Teams and Google Drive, or similar project-management and collaboration platforms.
- An interest in event marketing, communications, social media and design is an asset.
- Experience working efficiently in a Mac environment is an asset.
The Reality of Event Work
Events don't always happen Monday to Friday between 8:30 a.m. and 4:30 p.m., and this position requires flexibility.
Regular office hours are 8:30 a.m.–4:30 p.m., Monday through Friday, with flexibility required around event schedules. Early mornings, evenings, weekends and longer event days will occasionally be required.
The position also requires the ability to travel to event venues in London and other locations throughout Ontario and Canada.
Candidates must have a valid driver's licence and be comfortable working in active event environments, including being on their feet for extended periods during event set-up and execution.

Salary range: $50,000 - $60,000 annually, commensurate with experience.
