About the role
Mac Management Properties manages about 200 residential rental units across Niagara on behalf of landlord clients. Our owner is also a registered real estate salesperson with Revel Realty Inc., Brokerage, and lists some of our clients' vacant units on MLS. We're hiring one experienced administrator to support both sides of that work.
This is an administrator role, not a call-centre role. About half the job is producing accurate paperwork and keeping files complete. The other half is being the organized point of contact between tenants, contractors, cooperating realtors and our office, including some in-person work around Niagara: showings, key handoffs, posting notices, and move-in inspections.
You'll join a team of three and report to Todd (owner).
What you'll do
Property management:
- Prepare tenancy documents from templates: Ontario Standard Form of Lease and our appendix, notices of entry, utility transfers, tenant insurance follow-ups.
- Run the leasing workflow on our direct listings: respond to leads quickly, pre-screen within the legal rules we'll teach you, book and attend viewings, collect complete application packages (ID, application, proof of income, Equifax report), and summarize the file for review.
- Maintenance intake and triage: log every request, troubleshoot before dispatching, schedule vendors, send 24-hour notices of entry, and follow up on overnight emergencies each morning.
- Complete move-in and move-out reports.
- Keep our CRM complete. Every call, text and email gets logged.
Real estate (as an unregistered assistant to a Revel Realty salesperson):
- Prepare MLS listing drafts from property details you verify. Todd reviews and publishes every listing.
- Prepare listing paperwork from templates for Todd's signature (representation agreements, disclosures, brokerage checklist forms).
- Configure showings in BrokerBay, respond to cooperating realtors with factual listing information, and chase complete application packages.
- Prepare Agreement to Lease and related OREA forms once a deal is approved.
- You will never set or discuss price, negotiate, sign, or present yourself as an agent. We'll train you on exactly where that line is.
What we're looking for
- 2+ years in an administrative role where accuracy mattered. Real estate brokerage, property management, real estate law clerk, or conveyancing experience is strongly preferred.
- Excellent written English. Your emails and documents go to landlords, realtors and tenants under your own name.
- Clear and calm on the phone, including with frustrated tenants.
- Detail habits you can describe: checklists, second passes, leaving a field blank and flagging it rather than guessing.
- Comfortable in a rules-heavy environment. Ontario tenancy law and real estate regulation govern a lot of what we do.
- Quick with new software. We use LeadSimple, PropertyMeld, PayProp, RingCentral, CompanyCam, Dropbox Sign, Google Workspace, PropTx MLS and BrokerBay.
- Valid G licence and reliable vehicle for occasional travel within Niagara (mileage paid).
Nice to have:
- Experience with Ontario tenancy documents or OREA forms.
- Experience with any of the systems listed above.
- Completed or in-progress Humber Real Estate Education Program. We'll support the right person in getting registered.
What we offer
- $22–$24 per hour depending on experience, 40 hours a week, plus 4% vacation pay. Reviewed at 6 months.
