Santos Cesar Law is a dedicated immigration law firm based in Ontario, Canada. We assist individuals, families, and businesses in navigating Canadian immigration pathways. We are seeking a results-driven, empathetic, and highly professional Client Intake Specialist to join our growing team.

Role Overview

As a Client Intake Specialist, you will support the firm’s client relations and follow-up process, with a particular focus on prospective clients who have completed an initial consultation with one of our lawyers.

You will follow up with prospective clients regarding the legal services discussed during their consultation, provide information about the firm’s fees and administrative processes, respond to general service-related inquiries, assist with next steps for clients who choose to retain the firm, and maintain accurate records of client communications and follow-up activities.

The role focuses on providing a professional, responsive, and client-centered experience while supporting the firm’s client onboarding process. The Client Intake Specialist does not provide legal advice or independently assess immigration eligibility or legal strategy. Any legal questions or requests for further legal assessment will be referred to one of the firm’s lawyers.

Key Responsibilities

- Respond promptly and professionally to incoming inquiries via phone, email, and social media channels.
- Conduct regular follow-ups with prospective clients following their initial consultation with one of the firm’s lawyers,



including confirming their interest in proceeding with the services discussed during the consultation and assisting with administrative next steps.
- Follow up with existing clients by phone and email regarding outstanding documents, information, appointments, and other administrative matters to ensure timely and consistent communication.
- Build trust and rapport with prospective and existing clients while delivering an empathetic, professional, and responsive client experience.
- Work closely with the legal team to understand the firm’s service offerings, pricing structures, and administrative processes relevant to client communications.
- Refer any questions requiring legal advice, legal analysis, assessment of immigration eligibility, or recommendations regarding legal strategy to one of the firm’s lawyers.

Requirements

- Education: High school diploma required; college or university education is considered an asset.
- Experience in consultative sales, legal intake, client relationship management, or customer success (preferably in qualified services).
- Exceptional communication skills in both English and Portuguese.
- Proficient with MS Office and Management Software.
- Basic understanding of Canadian immigration is a strong asset, though training will be provided.

Pay: $19.00 per hour

Expected hours: 40.0 per week

Experience:

- Consultative sales, client relationships or customer success: 1 year (preferred)
