The Role:
Reporting to the Manager, Patient Services the Intake/Referral Coordinator is responsible for managing the day-to-day needs and data entry for new patient data or chart coordination, database maintenance, assisting the clinical administration team with any requirements or needs.
The Intake/Referrals Coordinator represent a vital and integral aspect of the Intake process, where the role is the first point of contact from HFC to the patient. As the first aspect of HFC to provide outreach to the patient, this role must deliver an exceptional patient service experience through excellent patient relationship building that serves to set the expectations for the patient’s relationship with HFC going forward.
The role has no direct reports, but provides assistance to HFC’s multidisciplinary teams, including Clinical Administration team, reception, and other members of HFC’s diverse team of professionals and other roles.
Details of Role
- Full Time – 37.5 hours/week
- Contract – 6 months in length
- Expected Compensation - $40,000/year
This posting is for an existing vacancy within Hannam Fertility Centre.
Job Duties:
- Provide an exceptional patient service experience to patients, including setting expectations for the patient’s course of treatment, assisting with any issues around appointments and treatments, and helping to de-escalate or escalate identified patient concerns;
- Responsible for booking all new patient related appointments with Physicians, confirming appointments with patients and rescheduling, and cancelling as necessary. This includes booking patient appointments as well as completing patient-related booking tasks received from the clinical teams.
- Sets patient expectations for their time with HFC through answering patient questions regarding appointment policies, testing information, and communicating details by email or by phone related to referred/arranged appointments.
- Keeps EMR records up to date by uploading patient files, test results, and other documents and properly filing them in the patient’s electronic file while maintaining patient confidentiality
Qualifications:
- Successful completion of a post-secondary certificate or diploma in Medical Administration, or other related field
- 2-3 years working experience in an administrative role, preferably in the healthcare or medical clinic field
- Has a minimum of 2-years or experience working as an office assistant, preferably in a busy medical office environment booking patient appointments
Skills:
- Knowledge of medical terminology an asset
- Exposure to in-house medical software / CRM / Databases
- Is proficient in Microsoft Office Suite including Word, Excel and Outlook
- Background using ACCURO or other Electronic Medical Record system
- Customer service orientation
- High degree of accuracy and robust attention to detail
The Centre:
- Must be able to work safely in a typical computerized office environment with frequent online or in person meetings
- Clinic hours:
7 AM – 3 PM (Sunday – Saturday)
