Reporting to the finance lead, the Office and Finance Coordinator is responsible for bookkeeping, data management, and co-workspace co-ordination for Kitsaki Management. The Office and Finance Coordinator will work in collaboration with the CFO, senior leadership and the co-workspace tenants to ensure smooth day-to-day office operations for co-work tenants, record accurate financial records, and maintain customer and vendor relationships through addressing correspondence in a timely manner.
Our headquarters are based in La Ronge, Saskatchewan with an administration team based in Saskatoon. This position will be based out of the Saskatoon office.
The downtown co workspace is a unique opportunity to represent Kitsaki and support entrepreneurs and business professionals from an urban reserve in downtown Saskatoon. If you are an organized self-starter, we encourage you to apply.
Specific Responsibilities:
- Administer co-workspace contracts for current tenants.
- Greet and support co-workspace tenants with day-to-day office items.
- Issue invoices to tenants and customers and monitor collections. Escalate issues as required.
- Administer the accounts payable process, including expense management and approval workflows.
- Maintain up-to-date financial records using QuickBooks Online and related tools.
- Complete monthly account reconciliations, including bank, accounts payable, and accounts receivable.
- Prepare all necessary filings for federal and provincial taxes, including GST, PST, and payroll remittances.
- Communicate professionally with vendors, subcontractors, customers, and staff regarding co-workspace and accounting-related matters.
- Manage multiple tasks and meet tight deadlines with minimal supervision.
Tasks:
- Co-work tenant administration: Onboard new Co-workspace tenants and support through items such as building access, booking shared space and tenant amenities.
- Accounts Payable & Receivable: Process vendor invoices and employee expenses,
as well as manage customer payments and collections.
- Bank Reconciliation: Reconcile bank statements with the company’s records to ensure accuracy and resolve discrepancies.
- Expense Tracking: Monitor expenses, ensuring they are within budget and properly categorized.
- Financial Analysis: Assist in preparing financial reports, providing data to senior management for decision-making.
Qualifications and Essential Skills:
- Diploma or Certificate in Accounting or Bookkeeping considered an asset
- 1- 3 years of full-cycle accounting experience.
- Proficiency with QuickBooks Online, Excel, and other common technology tools.
- Customer focused attitude, with excellent communication and interpersonal skill.
- Proactive, energetic, and motivated to work both independently and as part of a team.
- A positive attitude and willingness to take ownership of responsibilities to address issues.
Compensation:
- Competitive base salary based on qualifications and market rates; annual range of $50,000 to $55,000 with a 37.5-hour work week.
