Undergraduate Program and Student Affairs Coordinator, College of Kinesiology
As a member of the College of Kinesiology’s student support and advising team, the Undergraduate Program and Student Affairs Coordinator provides comprehensive administrative and operational support for undergraduate academic programming, student advising, academic governance, and student progression. Working closely with the Associate Dean Academic, staff, students, faculty members, College committee chairs, and other University units, this position coordinates academic policy implementation, curriculum and program administration, governance processes, student support services, recruitment activities, and College designated undergraduate student events. The position also provides academic advising for undergraduate students, serves as a primary point of student contact, and plays a key role in advancing the College's academic mission, student success goals, and operational effectiveness.
Typical Duties or Accountabilities:
- Participates in College of Kinesiology course build meetings and provides administrative coordination and information to facilitate course build
- Performs graduation eligibility reviews for Fall and Spring convocation and prepares and processes associated documentation
- Receives, reviews, and processes practicum and honours applications and serves as administrative liaison with the associated instructors
- Serves as a voting member of the Undergraduate Program Committee and provides regular reports on undergraduate academic operations and student affairs to support committee decision making
- Serves as a key liaison between the College and central recruitment, admissions, and Registrar's Office staff to support student recruitment, admission, registration, progression, and graduation processes
- Monitors and identifies potential faculty action situations and works with the office of the Associate Dean Academic to facilitate timely and accurate processing
- Works with the office of the Associate Dean Academic to advance academic approval processes, including Undergraduate Program Committee approvals, Faculty Council approvals, University Course Challenge, and other academic governance requirements
- Works with the chairs of the College of Kinesiology Ethics Committee to receive track and store ethics applications, issue notices of ethical review and certificates of approval as directed by the Committee chairs and prepare documentation needed by the University Ethics Board
- Participates in College admission meetings with the Associate Dean Academic and supports admissions-related processes
- Works with the Associate Dean Academic to maintain,
update and implement College academic policies and procedures, including assessment procedures, exam deferrals etc.
- Attends Faculty Council meetings and provides information and support as required; serves as a non-voting member of the Honours and Awards Committees, providing reports and administrative support,
- Coordinates and organizes materials, communications required for Fall and Spring convocation ceremonies (e.g. registration, name card preparation, day of student-support etc.)
- Provides academic advising and program planning support to current, prospective, and transfer students
- Reviews, authorizes, and processes class overrides as per College policies and procedures
- Triages student concerns related to mental health, well-being, or personal circumstances and connects students with appropriate College or USask support services or resources
- Attends USask Academic Advising Council meetings to maintain awareness of development, initiatives, and best practices as relate to undergraduate student advising
- Attends regular Kinesiology Academic Team staff meetings to support effective collaboration and communication on student related matters
- Collaborates with other Kinesiology Academic Team staff to plan and deliver incoming student events (e.g. Orientation, UStart etc.)
- Participates in and supports College of Kinesiology special events committees, as requested (e.g. undergraduate student events, awards, welcome BBQs, recruitment activities, and other student engagement initiatives)
- Communicates and acts in a respectful and professional manner, collaborates effectively, abides by policy, and contributes to a positive and productive work and learning environment
- Engages in continuous learning by participating in activities, training, and events related to Indigenous engagement, reconciliation, equity, diversity, and inclusion
- Demonstrates respect and dignity for all members of the community, actively contributes to an environment of acceptance and inclusion of others, and responds to different perspectives from a place of curiosity, respect, and non-judgement
- Undertakes related duties, as assigned, consistent with the nature of the position
Qualifications:
- A bachelor’s degree in kinesiology, education, administration, or related field
- A certificate from the Canadian Association of College & University Student Services (CACUSS), or an equivalent is an asset
- Minimum of three years of student advising or university undergraduate program administration experience
- Knowledge of university undergraduate program environments
- Ability to maintain a high degree of confidentiality
- Robust organizational skills
- Excellent time management skills
- Strong conflict engagement and problem-solving skills
- Ability to work effectively both independently and collaboratively with a range of stakeholders in a diverse environment.
- High attention to detail
- Excellent interpersonal and communication skills
An equivalent combination of education, training and experience, as well as non-traditional career paths, community experience, and recognition of prior learning may be considered.

Salary: The salary range, based on 1.0 FTE, is $69,035.00 - 107,868.00 per annum. The starting salary will be commensurate with education and experience.
