White Rock Dodge, part of Trotman Auto Group, is seeking an experienced Warranty Administrator to join our growing team.

This is not an entry-level administrative or data-entry position.

The Warranty Specialist is a critical contributor to Service Department profitability and is responsible for maximizing legitimate warranty reimbursement opportunities while maintaining strict OEM compliance.

We are seeking someone who understands automotive repair operations, technician documentation, labour operations, repair order workflow, warranty coding, manufacturer policies, audits, recalls, campaigns, and chargeback prevention. The successful candidate knows how to identify revenue opportunities, prevent lost reimbursement, and support dealership profitability through effective warranty management.

Who We're Looking For
We are looking for an experienced automotive dealership professional with strong technical knowledge of warranty administration, service operations, and manufacturer compliance.

Preferred Qualifications
One or more of the following:

2+ years of OEM dealership Warranty Administrator experience

OR

3+ years as a Senior Service Advisor
3+ years as a Journeyman Automotive Technician
3+ years as a 3rd or 4th Year Apprentice Technician
3+ years as a Shop Foreman, Dispatcher, Tower Operator, Shop Controller, Fixed Operations Coordinator, or similar dealership role

Candidates without relevant dealership experience will not be considered.

Multi-store Warranty Administration experience
Warranty audit and compliance experience
Warranty receivables management

Revenue recovery and reimbursement optimization
Recall and campaign administration
Technical Service Bulletin (TSB) implementation
Engineering, technical, or diagnostic background
Experience with CDK, Reynolds & Reynolds, PBS, Tekion, Dealertrack, or similar dealership management systems

What Your Day Will Look Like
Review and audit repair orders for warranty eligibility
Analyze technician stories and supporting documentation
Validate labour operations, coding, diagnostics, and parts usage




Process and submit warranty claims according to OEM requirements
Identify missed labour operations and reimbursement opportunities
Monitor claim acceptance rates and denied claims
Research and submit warranty appeals
Track warranty receivables and aging claims
Work closely with Technicians, Service Advisors, Parts Advisors, Service Managers, and Fixed Operations leadership
Support manufacturer warranty audits
Ensure compliance with manufacturer policies and procedures
Review recalls, campaigns, TSBs, and warranty bulletins
Identify opportunities to improve warranty profitability
Maintain accurate and organized warranty records
Help maximize warranty revenue while minimizing compliance risk

Warranty revenue represents a significant portion of a dealership's labour sales and profitability.

The successful candidate will do far more than submit claims. They will serve as a subject matter expert who helps recover legitimate warranty revenue, reduce chargebacks, improve submission quality, support audit readiness, and strengthen overall Service Department performance.

This role is ideal for someone who enjoys problem‑solving, analyzing repair processes, identifying opportunities, and collaborating across the dealership to drive results.

Schedule: Full-Time 8:30am - 5:00pm

Compensation: $50,000 - $70,000 per year

Compensation will be based on experience, qualifications, training requirements, and demonstrated warranty expertise.
