Overview
Join our dynamic healthcare team as a Medical Secretary/Receptionist, where your energetic and organized approach will be the first point of contact for patients and visitors. In this vital role, you will ensure smooth daily operations by managing front desk activities, coordinating appointments, and maintaining accurate medical records. Your positive attitude and attention to detail will help create a welcoming environment while supporting the clinical team with essential administrative tasks.
Responsibilities
- Greet patients and provide courteous, qualified assistance in person, by telephone, and by email
- Schedule and confirm appointments, consultations, procedures, and follow-up visits
- Manage incoming calls, messages, referrals, faxes, and medical correspondence
- Create, update, and maintain accurate electronic patient records
- Process incoming referrals and communicate with referring physicians, hospitals, laboratories, and other healthcare providers
- Coordinate surgical bookings and accurately transcribe, format, and process physician dictations and related medical correspondence
- Prepare examination rooms and assist with general clinic workflow as needed
- Coordinate test results, requisitions, forms, and specialist documentation
- Maintain patient confidentiality and comply with applicable privacy requirements
- Perform general administrative duties, including scanning, filing, faxing, and document preparation
- Support the physician and clinical team in maintaining an organized and efficient office
Qualifications
- Previous experience as a medical secretary, medical receptionist, or medical office assistant is strongly preferred
- Experience in an Obstetrics and Gynecology office is considered an asset
- Familiarity with electronic medical record systems is preferred
- Knowledge of medical terminology and medical office procedures
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Professional, dependable, and able to handle sensitive information with discretion
- Comfortable managing multiple priorities in a busy clinical environment
- Proficiency with computers, email, Microsoft Office, and standard office equipment
- Ability to communicate with patients in a respectful, compassionate, and nonjudgmental manner
- Fluency in French or another language is considered an asset
