We are looking for an organized, dependable, and process-minded Warehouse & Inventory Coordinator to oversee the daily operation of our warehouse and inventory systems.
Position Overview
The Warehouse & Inventory Coordinator is responsible for ordering, receiving, organizing, and staging equipment and materials for plumbing and HVAC projects. This position plays an important role in ensuring technicians have the correct equipment and materials available when and where they are needed.
The successful candidate will maintain accurate inventory levels, complete regular cycle counts, develop strong supplier relationships, and help create standardized warehouse and purchasing processes as the company continues to grow.
Key ResponsibilitiesEquipment and Project Staging
- Review upcoming plumbing and HVAC installations and projects.
- Order the equipment and materials required for scheduled work.
- Pull and stage equipment, parts, and materials before each project.
- Verify that staged orders are complete and accurate.
- Clearly label staged materials for the appropriate project or technician.
- Coordinate with office staff, installers, and technicians regarding equipment requirements or changes.
- Help load and unload equipment, materials, and supplier deliveries.
Inventory Management
- Maintain accurate inventory records within the company’s inventory management system.
- Complete regular cycle counts and investigate inventory discrepancies.
- Monitor minimum and maximum stocking levels.
- Identify low-stock, overstocked, obsolete, or slow-moving materials.
- Receive deliveries and verify quantities, condition, and pricing against purchase orders.
- Ensure materials are assigned to the correct project, job, warehouse,
or technician.
- Process returns, warranty items, damaged products, and supplier credits promptly.
- Maintain accurate records of equipment serial numbers when required.
Purchasing and Supplier Relationships
- Build and maintain professional relationships with suppliers and manufacturer representatives.
- Request pricing, product availability, and delivery information.
- Help secure competitive pricing and reliable delivery timelines.
- Follow up on backorders, shortages, incorrect shipments, and outstanding credits.
- Communicate purchasing or supply concerns to management.
- Help evaluate suppliers based on pricing, service, availability, and reliability.
Warehouse Organization
- Keep the warehouse, equipment areas, and exterior storage areas clean, organized, and safe.
- Ensure all inventory is stored in clearly identified locations.
- Maintain dedicated areas for incoming materials, project staging, returns, warranties, and scrap.
- Identify damaged, misplaced, or improperly stored materials.
- Assist with organizing company vehicles and maintaining standard truck inventory.
- Follow all company safety procedures when handling equipment and materials.
Process Development and Improvement
- Help create, document, and implement standardized processes for purchasing, receiving, inventory control, staging, returns, and warranties.
- Identify opportunities to reduce material waste, inventory loss, duplicate purchases, and project delays.
- Help improve communication between the warehouse, office, technicians, installers, and suppliers.
- Assist with developing checklists, forms, warehouse layouts, and inventory procedures.
- Support the continued development of the company’s inventory management system.
- Recommend practical improvements that make warehouse operations more accurate and efficient.
Qualifications
- Previous warehouse, inventory, purchasing, or shipping and receiving experience is preferred.
- Experience in the plumbing, HVAC, construction, or trades industry is considered an asset.
- Strong organizational skills and attention to detail.
- Comfortable working with inventory management software, computers, and mobile applications.
- Strong written and verbal communication skills.
- Able to manage multiple priorities in a fast-paced environment.
- Able to work independently while communicating effectively with the rest of the team.
- Comfortable identifying problems and helping develop practical solutions.
- Valid driver’s licence and a clean driving record.
- Able to safely lift and move plumbing and HVAC equipment and materials.

Pay: $25.00-$35.00 per hour
Expected hours: 40.0 per week
