About the BC Lung Foundation

The BC Lung Foundation is one of British Columbia’s leading nonprofit health organizations. Founded nearly 120 years ago as an anti-tuberculosis society, we have grown and adapted to address the lung health issues affecting British Columbians today—including asthma, COPD, lung cancer, smoking and vaping cessation, respiratory infections, wildfire smoke and air quality.

Our work supports the one in five British Columbians living with lung disease through patient programs, internationally recognized research, education and advocacy.

We are looking for a positive, highly organized and resourceful Events & Volunteer Coordinator to help plan and deliver our annual fundraising events. This is a hands-on role for someone who enjoys bringing many moving parts together, takes ownership of their work and remains calm and solutions focused in a busy event environment.

The ideal candidate is a natural self-starter who can work independently, identify what needs to happen next and follow projects through to completion—while also being an enthusiastic and collaborative member of a small team.

Position Overview

Reporting to the Director, Events, and Engagement. The Events & Volunteer Coordinator will support the planning, coordination and on-site delivery of four major annual fundraising events:

· March: Climb the Wall

· June: Fairways for Airways

· August: The Ride for Lung Health

· November: Wonder Gala

Planning for each event takes place over several months and involves participants, volunteers, sponsors, donors, vendors, venues, and community partners.

The successful candidate will have a positive attitude, have strong logistical instincts, exceptional attention to detail and the ability to manage timelines, people and practical event requirements from early planning through event day and post-event follow-up.

Key ResponsibilitiesEvent Planning and Logistics

· Support the planning and execution of BC Lung Foundation fundraising events from initial preparation through post-event evaluation.

· Maintain detailed event timelines, task lists, production schedules, run-of-show documents, and operational plans.

· Coordinate event logistics, including volunteers, equipment, signage, transportation, deliveries and on-site setup.

· Take ownership of assigned projects and work independently to move tasks forward, resolve routine challenges, and meet deadlines.

· Coordinate event materials, supplies, participant packages, prizes, auction items and other event-day resources.

· Anticipate operational needs and identify potential gaps or challenges before they affect event delivery.

· Be present and actively involved in event setup, delivery, and teardown.

· Contribute to a, collaborative and solution focused working environment, particularly during busy event periods.

Participant Management

· Monitor participant registration and fundraising information using platforms such as Trellis, TeamRaiser or similar event-management systems.

· Maintain accurate participant records, including contact information, registration details, team information, and event requirements.





· Use Excel to organize, reconcile, analyze, and report participant and event data.

· Prepare volunteer communications, instructions, event updates, and registration materials.

· Monitor registrations and fundraising activities, identifying missing information or follow-up needs.

· Support participant check-in and troubleshoot registration issues on event days.

· Handle participant information carefully and maintain appropriate confidentiality.

Volunteer Coordination

· Assist with volunteer recruitment, scheduling, and communication.

· Match volunteers with appropriate roles based on event needs, experience and availability.

· Prepare volunteer instructions, schedules, briefing materials, and role descriptions.

· Lead volunteer check-in, orientation and deployment on event days.

· Serve as a welcoming and reliable point of contact for volunteers before, during and after events.

· Help create an organized, that encourages volunteers to return.

Vendor and Partner Coordination

· Communicate clearly and professionally with suppliers, community partners and other event stakeholders.

· Request and organize quotes and logistical information.

· Confirm vendor requirements, arrival times, access instructions and event-day responsibilities.

· Support sponsor and partner fulfillment, including signage, recognition and on-site activations.

Community Outreach and Fundraising Support

At BC Lung Foundation, every team member plays a role in representing the organization and advancing its mission.

· Act as a positive and informed ambassador for the BC Lung Foundation when engaging with participants, volunteers, businesses, and community members.

· Support outreach to prospective donors, sponsors, prize contributors, and community partners.

· Contribute to collective fundraising and outreach efforts across the organization.

· Clearly and enthusiastically communicate the Foundation’s mission and the impact

of its work.

· Assist with follow-up communications for participating businesses, donors and event partners.

Direct fundraising or business-development experience is not required, but a willingness to participate in outreach and confidently represent the organization is strongly encouraged.

Event Communications and Administration

· Draft clear event-related communications for participants, volunteers, vendors, and partners.

· Coordinate with the Marketing and Communications team to ensure event information, deadlines, and promotional requirements are communicated accurately.

· Maintain registration, volunteer and event records using spreadsheets, databases, and online platforms.

· Participate in post-event debriefs and document recommendations for future events.





Qualifications and Experience

The ideal candidate will have:

· Two or more years of experience in event coordination, hospitality, venue operations, catering, restaurant management, conferences, festivals, fundraising events or a related field.

· Demonstrated experience coordinating event logistics and managing multiple deadlines.

· Experience working with or supervising volunteers, event staff or service teams.

· Strong Excel skills and confidence in organizing, reviewing and reconciling detailed information.

· Exceptional organizational skills and close attention to detail.

· A positive, proactive and solutions focused attitude.

· The ability to work independently, manage their time effectively, and move projects forward with limited day-to-day supervision.

· Sound judgment and the confidence to make routine decisions within their area of responsibility.

· Strong problem-solving skills and the ability to adapt constructively when plans change.

· The ability to prioritize competing tasks and follow through without losing track of important details.

· Clear, professional, verbal, and written communication skills.

· A warm, respectful, and service-oriented approach when working with volunteers, donors, participants, and members of the public.

· Confidence using Microsoft Office 365, particularly Outlook, Word, and Excel.

· A collaborative, team-minded approach and a willingness to contribute where needed.

Additional Assets

The following would be considered assets:

· Experience working in a hotel, restaurant, catering company, event venue or other rapid-paced hospitality environment.

· Experience with nonprofit or fundraising events.

· Experience using Trellis, TeamRaiser or another peer-to-peer fundraising or event-registration platform.

· Excel skills, including sorting, filtering, formulas, conditional formatting, and working with larger participant lists.

· Experience using project-management tools, like Monday.com

· Experience with donors, sponsors or community partner outreach.

· First Aid certification.

· Knowledge of the event venues, suppliers, and community organizations.

Position Requirements

· Valid BC Driver's License (must be able to legally drive & transport several passengers)

· Availability to work on occasional evenings, early mornings, and weekends in connection with events.

· Willingness and ability to assist with physical event setup, including moving supplies and equipment.

· Ability to travel within Vancouver and the Lower Mainland.

Nice to Know

The BC Lung Foundation operates on a four-day work week, with regular office hours from 8:00 a.m. to 5:00 p.m., Monday through Thursday. Some flexibility will be required during event periods.

We offer a competitive benefits package and a collaborative working environment. Our office is located in a 1908 heritage building at 2675 Oak Street in Vancouver.

Pay: $55,000.00-$60,000.00 per year
