Job Description:

The Project Coordinator’s responsibility is to support the planning, execution, and completion of projects within our automation company. They will work closely with project managers, teams, and stakeholders to ensure smooth project operations, track progress, and assist in maintaining project schedules. This role is ideal for someone with excellent organizational skills and the ability to manage multiple tasks simultaneously in a fast-paced workplace.

Roles and Responsibilities

· Assist the Project Manager with project schedules, and documentation throughout project scoping, planning, execution, and closeout (experience with Team Gantt is preferred but not required);

· Coordinate design requirements, specifications, revisions, and design packages, including tooling/machine models, drawings, BOMs, RFQs, and manufacturing documentation;

· Coordinate with customers and internal teams through meetings, design reviews, and regular project updates to ensure requirements and deliverables are met;

· Coordinate cross department tasks and deliverables between engineering, automation, manufacturing, build teams, and materials/purchasing departments;

· Maintain accurate project documentation including open issues lists, customer materials schedule, quotes, correspondence, requisitions,



drawings, schedules, and project/order status.

· Ensure timely completion of assigned tasks, adherence to established design and safety practices, and proper housekeeping standards;

· Review designs and components for adherence to any customer provided standards and recommend design improvements as required;

· Assist materials/shipping department as needed to monitor kits and deliveries for parts ensuring they arrive in a timely manner;

· Assist the project manager with managing, monitoring, and escalating project risks and roadblocks;

· Role frequently requires overtime, as well as travel to customer sites based on project needs, Customer sites may be located both domestically and internationally.

· Perform other related duties and responsibilities as assigned.

Qualifications:

· 1-3 years of experience in project coordination or project support roles, ideally within the automation, manufacturing, or technology industries.

· Diploma or Degree in Mechanical/Electrical/Automation Design or Related Field is preferred but not required.

· Familiarity with project management software (e.g., Team Gantt, Microsoft Teams, Asana, Trello, or similar tools).

· Strong organizational and multitasking abilities, with attention to detail and accuracy.

· Excellent written and verbal communication skills.

· Ability to work independently and collaboratively with cross-functional teams.

· Basic understanding of project management principles and methodologies (e.g., Agile, Waterfall).

· CAPM certification is an asset but not required

· Strong problem-solving skills and ability to manage project challenges effectively
