At Canadian Financial Planning Partners (CFPP), we're looking for an experienced Administrative Assistant to join our growing, people-focused practice. This is not an entry-level opportunity. We're seeking someone who brings strong administrative expertise, exceptional client service, sound judgment, and a genuine commitment to helping others.

As our Administrative Assistant, you will play a key role in the client experience. From welcoming current clients and supporting important conversations to ensuring every interaction is professional, organized, and meaningful, you will help create an environment where clients feel valued, supported, and confident in the service they receive.
What’s in store for you at CFPP
As the Administrative Assistant, you will play a central role in both the client experience and the practice's day-to-day operations. You'll work closely with the founder to ensure clients receive exceptional service while helping the business operate efficiently, professionally, and consistently.
Client Service & Relationship Management
- Serve as the first point of contact for clients by phone, email, and in person.
- Welcome clients and help create a professional, warm, and positive experience.
- Respond to client inquiries and coordinate timely follow-up activities.
- Support new client onboarding and help ensure a seamless experience throughout their relationship with CFPP.
Meeting & Calendar Coordination
- Coordinate client review meetings, consultations, and appointments.
- Manage calendars,
scheduling, confirmations, reminders, and logistics.
- Prepare meeting packages and supporting materials.
- Track action items and follow-up commitments to ensure nothing falls through the cracks.
Administrative & Office Support
- Update and maintain client files, including client account information and insertion of financial plan updates.
- Support light bookkeeping tasks as needed.
- Prepare correspondence, reports, presentations, and client communications.
- Maintain systems, processes, and workflows that support an exceptional client experience.
Practice Operations & Growth
- Support the day-to-day administration of a growing financial planning practice.
- Identify opportunities to improve efficiency and client service.
- Assist with special projects and business initiatives as the practice evolves.
Technology & AI
We believe technology should help us spend more time focusing on people.
- Use Microsoft Office, CRM systems, and other business technologies to support efficient operations.
- Use approved AI tools responsibly to draft communications, summarize information, organize notes, support document preparation, and streamline routine work.
- Ensure all AI-supported work is reviewed for accuracy, confidentiality, and appropriate use.

Backgrounds That Translate Well to This Role
This role is designed for someone who has established themselves as an administrative professional and has demonstrated success in:
- Supporting a business owner, advisor, executive, or other senior professional in a client-facing environment.
- Serving as a trusted point of contact for clients while delivering a professional, responsive,
and relationship-focused experience.
- Managing competing priorities, calendars, meetings, correspondence, and follow-up activities with minimal supervision.
- Coordinating the details that keep a professional practice running smoothly, including client communications, documentation, records management, and administrative operations.
- Working with confidential personal, financial, employee, or client information while exercising discretion and sound judgment.
- Using Microsoft 365, client relationship management (CRM) systems, and other business technologies as part of daily work.
- Identifying opportunities to improve processes, increase efficiency, and support business growth.
Experience within financial planning, wealth management, insurance, banking, or other professional advisory environments would be considered an asset.

Pay: $50,000.00-$55,000.00 per year
