Reporting to the Senior Human Resources Partner - Faculty Relations, the Human Resources Assistant provides administrative support to the Faculty Relations team. This position is integral to operations and client services as it relates to supporting faculty relations (FR). This role will provide administrative support across a range of Human Resources (HR) functions, including employee records and documentation, recruitment, communications, data entry and reporting, and general departmental administration. The role supports to day-to-day delivery of faculty relations processes and helps ensure information, records, and activities are organized, accurate, and completed efficiently.
Responsibilities
Duties include but are not limited to:
- Providing day-to-day administrative support across core FR functions and processes;
- Maintaining accurate employee records, HR documentation, files, and data within HR systems;
- Supporting recruitment processes, including scheduling, documentation, correspondence, and tracking;
- Coordinating and tracking FR-related requests, deadlines, and follow-up activities;
- Preparing routine reports, spreadsheets, letters, forms, and other administrative materials;
- Assisting with employee lifecycle administration, including changes to employee information, status, and documentation;
- Providing administrative support for FR programs, projects, meetings, and team activities as required; and
- Taking on routine and transactional FR tasks to create capacity for the broader FR team to focus on higher-level priorities
Qualifications and Experience
The successful candidate must possess a one-year certificate in human resources, office or business administration together with a minimum of three years’ related experience, preferably in a confidential capacity and a post-secondary environment, or human resources. An equivalent combination of education and experience will be considered.
Familiarity with university structures, policies and procedures is preferred. The candidate must be proficient in the use of MS Word/Excel/Outlook. Experience working with HRIS systems is required, and experience with the Banner HR system would be considered an asset. Exceptional interpersonal skills are necessary with demonstrated proficiencies in written and verbal communication and the ability to solve problems to ensure client satisfaction is balanced with departmental success.
The candidate must have a proven ability to work in a team environment using a collaborative approach with both internal and external stakeholders, interacting in a highly professional and confidential manner.
The ability to work independently and demonstrate initiative in a busy and sometimes stressful environment is critical, with the flexibility to assist where needed and work as an active team member. It is critical to exercise good judgment and diplomacy, deal effectively and professionally with staff and faculty, management, students and the public. The successful incumbent will possess strong analytical skills and demonstrate the ability to find effective solutions to organize their time and meet challenges. A working knowledge of the Freedom of Information and Protection of Privacy Act (FIPPA) should be demonstrated.
Salary
The hourly rate for this position will be $27.47.
Hours of work will be between 8:30am and 4:30pm Monday through Friday.
As part of our Casual Pool, employees are available on an on-call basis, and may be called in to assist during peak periods, vacation, or sick leave coverage.
