Our client is a large, private multi-family office. Due to continued growth, this role will operate as a dedicated Executive Assistant to the Chief Human Resources Officer (CHRO) while also providing broader support across the HR team.
What You'll Do
- Provide executive and administrative support to the CHRO and HR team, including calendar management, meeting coordination, expense processing, invoice administration, purchasing, and catering arrangements
- Support the full employee lifecycle through onboarding, benefits administration, HRIS updates, employee file maintenance and background checks
- Support benefits administration, including enrolments, terminations, beneficiary updates, pension and benefits documentation, employee inquiries, and coordination with external providers
- Serve as a key point of contact for day-to-day team operations by monitoring the HR inbox, triaging inquiries, maintaining documentation, and ensuring timely follow-up on employee requests
- Maintain and update intranet content, organizational chart updates, process documentation, and other team materials
- Assist in the coordination of employee initiatives and events, including town halls, recognition programs, charitable donation matching, and other people-focused activities
- Provide administrative and project support across a wide range of HR initiatives,
helping the team operate efficiently and effectively while managing highly confidential and sensitive information with professionalism, discretion, and sound judgment
What We're Looking For
- 2-4+ years of experience in an administrative, coordinator, executive assistant, or similar support role within a professional corporate environment
- Strong judgment, resourcefulness, and the ability to work independently while knowing when to seek guidance
- Excellent written and verbal communication skills, with the ability to draft professional correspondence and interact confidently with employees and leaders at all levels
- A high degree of discretion and professionalism, with a proven ability to handle sensitive and confidential information with care
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams
- An interest in leveraging technology and AI tools to improve efficiency and effectiveness; our team actively uses Copilot and Claude in day-to-day work
- A team-oriented and adaptable professional who takes a proactive approach, anticipates needs, and demonstrates strong ownership and provides seamless support where needed.
This role requires you to work in our Toronto office a minimum of four days per week (three days per week until December 31, 2026).
