Key Responsibilities
Recruiting, Hiring & Hiring Manager Partnership
- Partner with hiring managers to scope open roles, define requirements, and translate them into clear, compelling job descriptions.
- Own job posting and distribution across job boards, the company careers page, LinkedIn, and other channels.
- Manage the full interview process, including coordinating interview panels, building interview guides and scorecards, screening resumes, and conducting initial phone and video interviews.
- Guide hiring managers through structured interviewing, feedback collection, and decision-making to reduce bias and improve hiring quality.
- Extend and negotiate offers and manage the offer-to-start pipeline, including background checks and pre-employment requirements.
- Track recruiting metrics, including time-to-fill, source of hire, and offer-acceptance rate, and report on hiring pipeline health.
Employment Contracts & Agreements
- Draft, review, and manage employment agreements, offer letters, independent contractor agreements, and consulting agreements for U.S., Canadian, and international hires.
- Ensure contracts reflect the correct worker classification—employee or contractor—and comply with applicable local employment laws.
- Coordinate with outside counsel and Employer of Record (EOR) or Professional Employer Organization (PEO) partners for international employment arrangements.
- Maintain templates for offer letters, employment agreements, NDAs, and separation agreements, keeping them current as regulations change.
Benefits & Policy Administration
- Administer employee benefits programs, including health, dental, vision, retirement plans such as 401(k) and RRSP, and leave programs across all countries of operation.
- Serve as the primary point of contact for benefits enrollment, renewals, vendor relationships, and employee questions.
- Develop, maintain, and communicate HR policies and employee handbooks tailored to each jurisdiction’s requirements.
- Administer leaves of absence, including parental leave, statutory leave in Canada and other countries, and accommodation requests.
Employment Law, Compliance & Regulatory Handling
- Monitor and ensure compliance with U.S. federal and state employment laws, including FLSA, EEOC, ADA, and state-specific requirements; Canadian federal and provincial employment standards; and applicable international labor regulations.
- Maintain compliant I-9 and work authorization processes in the U.S., work permit tracking in Canada and international jurisdictions, and required labor postings.
- Manage payroll-related compliance matters in partnership with Finance and Payroll, including worker classification, statutory deductions, and multi-jurisdiction tax considerations.
- Keep policies, contracts, and practices current as laws change, identify legal risks, and escalation matters to leadership or outside counsel when necessary.
- Lead investigations into employee relations matters and ensure fair, well-documented, and legally sound resolutions.
People & Culture, Performance & Compensation
- Own the People & Culture calendar, including recurring monthly meetings and check-ins with employees and leadership regarding culture, engagement, and team health.
- Design and manage the performance management cycle, including goal-setting, mid-year and annual reviews, performance improvement plans, and manager coaching.
- Administer bonus and incentive compensation programs, including calculation support, employee communications, and payout coordination with Finance.
- Lead employee engagement initiatives, recognition programs, and culture-building activities across a distributed, multi-country workforce.
Qualifications
- Five or more years of progressive HR experience, including generalist or HR Manager responsibility across recruiting, benefits, compliance, and employee relations.
- Demonstrated experience managing HR and employment matters across multiple countries, ideally including both the U.S. and Canada. Additional international experience is a strong asset.
- Working knowledge of U.S. and Canadian employment law and familiarity with EOR and PEO models for international hiring.
- Experience drafting and managing employment agreements, offer letters, and contractor agreements.
- Proven experience owning full-cycle recruiting and partnering closely with hiring managers.
- Experience managing performance management and compensation or bonus cycles.
- Strong discretion and judgment when handling confidential employee, compensation, and legal matters.
- Excellent communication, organization, and stakeholder-management skills.
- Experience with Rippling is preferred. Experience with other HRIS and ATS platforms, such as BambooHR, Gusto, or Greenhouse, is an asset.
Preferred Qualifications
- Previous experience at an early-stage or high-growth startup, including building HR infrastructure from the ground up.
- Experience with global payroll or EOR platforms, such as Deel, Remote, or Rippling Global.
Compensation, Benefits & Work Arrangement
- Location: VeriFast is headquartered in Toronto, Ontario.
- Work Arrangement: This is a full-time position with hybrid or work from home options depending on location.
- Compensation: $110,000–$130,000 USD annually, based on experience.
