The Coordinator – International Student Services supervises the international student services team for day-to-day activities as well as participates in strategic planning for the team and as related to the department and to the college’s strategic goals. The position collaborates with other areas of Camosun International, the Registrar’s Office, college schools and other departments to ensure current students are provided with the necessary academic, registration, and immigration advising support.
The coordinator maintains a department specific and integrated view of student services processes and systems, and how these processes and systems interface and relate to other departments and the college community.
This position works with a large volume of confidential and sensitive documents and information. Will require working between campuses and occasional overtime.
TYPICAL DUTIES
Supervises and schedules the international student services team – International Student Academic Advisors & International Student Experience Advisors – for maximum productivity; sets registration, academic advising, and immigration advising priorities for the team and ensures related services are completed within the set timeframes;
Participates in the recruitment, orientation, and training of the international student services team including coordinating training schedules, prioritizing training topics, updating training resources, identifying new training needs both within the unit and Camosun International in general;
As requested by supervisor, when recruitment is required, develops selection criteria in accordance with collective agreements to meet service expectations and position requirements;
Acts as the first point of contact for complex student advising issues, resolving queries and making recommendations for further investigation, training or procedural changes; may also act as department contact/spokesperson when directed by supervisor;
Provides relevant data to supervisor and Camosun International management team for the development of the annual international student services plan and service strategies;
Provides information and guidance to program leaders, chairs, and other college community members relating to international enrolment and registration;
Researches and recommends new, innovative business processes and procedures that improve student experience and support the development and implementation of best practices in strategic enrolment management for efficiencies within international student services and for the college’s strategic plan;
Participates in and makes recommendations on the development, review and improvement and maintenance of related reporting processes, procedures, systems and tracking tools;
Takes a leadership role to identify and produce departmental specific communications to target groups within the college community, using a variety of methods such as but not limited to newsletter, social media, and email communication; Creates content and maintains Camosun International Student Services website;
Develops and maintains knowledge of the functions and processes of the international student services team and a thorough understanding and integrated view of the college’s current and planned programs and courses; as well as the college’s computer-based student registration system,
as relates to advising and registration;
Operations & Customer Service
Coordinates and ensures the delivery of international student service activities with regards to advising, registration, and student outreach planning;
Provides leadership, information and acts as a resource to team members completing Regulated International Student Immigration Advisor ( RISIA ) activities, including the preparation and submission of the required compliance report to Immigration, Refugees and Citizenship Canada ( IRCC );
Provides guidance on responding to inquiries from IRCC and Canada Border Services Agency ( CBSA ) about students’ enrolment status;
Creates processes to assist in the maintenance of applicable information relating to current legal regulations and requirements for student immigration issues (such as study permit processes, off campus work permits, and post graduate work permits);
Distributes above information to the student services team including setting up yearly Continuing Professional Development ( CPD ) training plan;
Works collaboratively with schools to define program international student support needs, advocates for necessary supports, and updates service planning based on these needs;
Collaborates with the Registrar’s Office and schools to establish new international student registration processes and advocates for appropriate course scheduling that meets Immigration, Refugees, and Citizenship Canada ( IRCC ) requirements;
Establishes, implements, and maintains uniform operating procedures and manages records and processes for integrity, security, accuracy, consistency, and decision-making;
Administers an effective inquiry response and communication system;
Collects, structures, and maintains statistics and data for planning, reporting, and decision-making purposes including for meeting institutional research requirements and ministry standards;

Provides activity and progress reports on a regular basis;
Coordinates and leads a variety of Camosun International student events (eg Peer Connections program, annual cultural showcases, and international student orientations);
Leads the development and/or creation of presentations, workshops, and other similar resources;
Develops, implements, monitors, and ensures customer service standards and models exemplary customer service;
Responds to customer feedback and resolves referred complaints related to departmental processes, policies, and functions and consults and/or refers matters requiring next level of intervention to supervisor;
Maintains an in-depth knowledge of all the duties of the International Student Experience Advisor position and performs these duties as required and/or requested by supervisor;
Represents the department on various committees, and chairs as appropriate;
Participates in and/or leads special projects or initiatives, as assigned;
Performs other related duties similar in scope and complexity
Qualifications
Completion of a Bachelor’s degree in social science, education, or international studies, Regulated International Student Immigration Advisor ( RISIA ) certification and five years of experience directly related to provision of service in international education, or a registrar’s office/student services department, including experience in international advising and service programming, and of which includes one year of supervisory experience,
or the equivalent combination of education and experience.
Demonstrated people and relationship-building skills, including mentoring, coaching, teamwork, and conflict resolution;
Proven analytical and problem-solving skills;
Proven communications skills, effective listening, respect for cultural differences, and demonstrated ability to communicate with non-native speakers of English; along with demonstrated customer service;
Demonstrated organizational and planning skills as well as ability to work accurately, efficiently and with attention to detail within a fast-paced, high volume, time sensitive, dynamic environment;
Solid experience using Colleague or another integrated student record/registration database system;
Advanced computer/technical skills, using all aspects of MS Office suite;
Ability to lift and carry up to 25 pounds.
Preferred Second Languages: Spanish, French, Filipino
