Your Opportunity We are seeking an experienced Corporate Fleet Coordinator to support the operational, analytical, financial, and compliance requirements of a large and geographically diverse corporate fleet.
The successful candidate will bring several years of direct, hands‑on experience working with fleet vehicles and equipment and will be able to contribute practical fleet knowledge from the outset.
As Fleet Coordinator, you will work collaboratively with the Stantec fleet team, internal business partners, drivers, fleet management companies, leasing providers, maintenance vendors, regulatory agencies, and other service providers. This role requires someone who understands the complete vehicle lifecycle and can independently assess fleet information, identify concerns, and recommend practical solutions.

Your Key Responsibilities Fleet Lifecycle, Replacement Planning, and Asset Management Coordinate vehicle and equipment activities throughout the asset lifecycle, including acquisition, ordering, registration, delivery, assignment, operation, transfer, replacement, and disposal.
Review vehicle and equipment requests to confirm operational requirements and recommend appropriate solutions, as well as assist with vehicle specifications, factory orders, upfitting requirements, purchase documentation, and delivery coordination.
Inspect and evaluate fleet equipment and recommend repair, continued operation, or replacement based on operational requirements, condition, lifecycle cost, utilization, and risk.
Analyze cost per kilometre or cost per mile, lifecycle cost, maintenance history, depreciation, market value, downtime, utilization, age, mileage, and operating requirements.
Review maintenance costs, including maintenance year-to-date and life-to-date expenditures, to identify vehicles with escalating costs or poor operating performance.
Prepare reports and recommendations addressing budgetary, procurement, operational, procedural, and lifecycle-management issues.




Maintenance Management Review and assess maintenance and repair recommendations for reasonableness, necessity, cost, vehicle condition, and remaining service life.
Work directly with fleet management companies, repair facilities, drivers, and internal stakeholders to resolve maintenance issues.
Evaluate repair-versus-replace decisions using vehicle history, expected future costs, operational need, safety, and replacement timing.
Support the development and consistent application of preventive maintenance practices, approval parameters, service standards, and quality controls.
Monitor maintenance exceptions, repeat repairs, excessive downtime, warranty opportunities, and unusual spending.
Your Capabilities and Credentials Strong analytical and problem-solving skills, with the ability to interpret incomplete or conflicting information and determine appropriate next steps.
Solid written and verbal communication skills.
Demonstrated ability to prioritize urgent issues while maintaining accuracy, documentation, and follow‑through.
Intermediate or advanced Microsoft Excel skills, including experience organizing, reviewing, and analyzing operational data.
Preferred Qualifications Experience supporting a geographically dispersed light-duty fleet operating across multiple regulatory jurisdictions.
Experience working directly with a fleet management company, leasing provider, or national fleet supplier.
Experience with vehicle ordering, upfitting, registration, licensing, maintenance authorization, fuel programs, rentals, accident management, remarketing, or fleet disposal.
Education and Experience Five to seven years of direct, hands‑on fleet management experience in a fleet coordinator, fleet analyst, fleet administrator, fleet specialist, fleet management company, leasing, maintenance‑management, or comparable operational fleet role.
Post‑secondary education in business, supply chain, transportation, finance, operations, or a related discipline is considered an asset. Equivalent direct fleet experience will also be considered.
Demonstrated experience independently managing or supporting multiple stages of the vehicle lifecycle.
Practical experience performing fleet analysis and making recommendations using vehicle cost, maintenance, mileage, utilization, age, condition, market, and lifecycle information.




Experience working with a fleet management information system or fleet management company platform and reviewing vehicle maintenance and repair information and identifying cost, lifecycle, or operational concerns.
Typical office environment working with computers and remaining sedentary for long periods of time.

Pay Transparency: In compliance with pay transparency laws, pay ranges are provided for positions in locations where required. Please note, the final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible. Actual compensation for part‑time roles will be pro‑rated based on the agreed number of working hours per week.
