Responsibilities
- Serve as the primary point of contact for employees and visitors requiring workplace-related support and assistance.
- Receive, respond to, and triage inquiries related to workplace services, office facilities, accommodations, and workplace procedures, escalating issues as appropriate.
- Resolve routine workplace issues within established authorities and procedures.
- Monitor workplace amenities, supplies, and shared spaces, and coordinate replenishment or corrective action as required.
- Support day-to-day workplace operations to ensure a positive employee and visitor experience.
- Maintain records, track service requests, and prepare reports on workplace activities, issues, and trends.
- Contribute to workplace readiness initiatives and support the implementation of return-to-work plans, workplace protocols, and space management activities.
- Assist with the administration, troubleshooting, and support of workspace reservation systems.
- Monitor office occupancy levels and maintain workplace utilization records and reports.
- Support workplace-related communications, notifications, and awareness campaigns.
- Coordinate with internal service providers, including Information Technology, Security, Administration, Human Resources, and Communications, to facilitate issue resolution.
- Monitor shared mailboxes and ensure timely response to employee requests.
Qualifications
- Fully bilingual in English and French, with the ability to communicate effectively,
both orally and in writing, in either official language without assistance.
- 5+ years of experience providing customer service, administrative support, or office coordination services.
- Experience responding to inquiries from clients, employees, or the public in a professional setting.
- Experience maintaining records, schedules, databases, trackers, or filing systems.
- Proficiency using Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint.
- Strong client service, organizational, communication, and problem-solving skills.
