The prospect

We are seeking an organized, service-focused professional to manage student services and the administrative systems supporting our flight-training programs. As the school's primary administrative contact, you will guide students from initial inquiry through admissions, funding documentation, training requirements, and program completion. The right person is discreet, highly accurate, calm under interruption, and comfortable balancing a busy front desk with compliance-driven work.

Key responsibilities

- Manage the administrative email inbox, telephone calls, visitors, student inquiries, and follow-up; refer technical aviation, medical, licensing, and operational questions to qualified personnel.
- Administer three full-time intakes each year, including applications, enrolment agreements, e-signatures, identification, declarations, and pre-semester checks for medical-certificate, funding, ground-school, housing, and documentation status.
- Maintain accurate student files, checklists, portals, and training spreadsheets throughout each four-month semester; follow up on missing or expiring documents.
- Coordinate written examinations and required external training, including egress and wilderness training.
- Support StudentAid BC and Canada Student Financial Assistance confirmations, disbursements, withdrawals, completion reporting,



and annual institutional renewals.
- Prepare student and tuition information for annual T2202 calculations, review, filing, and distribution.
- Protect sensitive personal information; maintain approved templates, filing practices, deadline calendars, website and pricing updates, completion records, and compliance corrections.

What you bring

- 3+ years of responsible experience in student services, admissions, records administration, office management, or another regulated environment.
- Proven discretion with confidential information and excellent organization, accuracy, communication, judgment, and follow-through.
- Ability to manage interruptions, competing priorities, and recurring deadlines without losing accuracy.
- Proficiency with email, spreadsheets, word processing, PDFs, electronic signatures, portals, and cloud-based records.
- Canadian Citizen / Resident.

Job Types: Full-time, Permanent

Pay: $60,000.00 per year
