About the Opportunity

A private business owner involved in multiple operating businesses, investments and ongoing projects is seeking a capable Executive & Personal Assistant.

This is not a traditional administrative role focused solely on managing a calendar or answering emails. We are looking for a highly resourceful person who takes ownership of assignments, figures things out and consistently gets projects across the finish line.

The successful candidate will work directly with the owner and provide support across business and personal priorities. This role is ideal for someone who enjoys variety, operates independently and can confidently manage everything from research and vendor coordination to business administration, basic accounting and personal logistics.

The successful candidate must also be highly experienced with modern AI tools and capable of using them to improve research, communication, organization, documentation and productivity.

Discretion is essential. The identity of the employer and additional details about the businesses will be shared with shortlisted candidates.

Key Responsibilities

- Manage priorities, appointments, meetings, correspondence and follow-up items
- Track commitments and ensure important tasks do not fall through the cracks
- Conduct online and telephone research and summarize findings clearly
- Use AI tools to accelerate research, prepare documents, organize information and improve workflows
- Obtain quotes, compare options and make informed recommendations
- Coordinate with vendors, contractors and professional advisors
- Make calls, book appointments and follow up persistently until matters are resolved
- Prepare, organize and proofread documents, spreadsheets and presentations
- Assist with travel arrangements, purchases, repairs and other logistics
- Support special projects across several businesses and investments
- Enter and organize transactions, expenses, receipts and financial records
- Assist with QuickBooks Online,



bookkeeping and other accounting-related administration
- Assist with personal and household-related projects and errands when required
- Create and improve systems that make the owner more organized and effective
- Handle sensitive business, financial and personal information with complete confidentiality

Required Qualifications

- Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Project Coordinator, Bookkeeper or in a comparable role
- Strong practical experience using AI tools such as ChatGPT or similar platforms
- Ability to use AI effectively for research, drafting, analysis, organization and workflow improvement
- Hands-on QuickBooks experience or meaningful bookkeeping/accounting experience
- Strong proficiency with Google Workspace, spreadsheets and modern business technology
- Excellent written and verbal communication skills
- Valid driver’s licence and reliable transportation
- Ability to work primarily in person in Langley

Compensation and Growth

The anticipated salary range is $40,000–$55,000 per year, depending on experience and demonstrated capabilities.

The position will begin with an initial 90-day probationary and evaluation period. At the end of that period, the role, responsibilities, compensation and potential performance-based bonus may be reviewed.

This is intended to become a stable, long-term position with opportunities to assume greater responsibility as the working relationship develops.
