Overland Container Transportation Services (OCTS) has proudly served Western Canada since 1989, providing safe, reliable and customer-focused transportation and logistics services.

Today, OCTS provides a comprehensive range of intermodal services, including container drayage, repair, storage, warehousing and transloading. We operate from both Canadian National and CPKC terminals in Calgary and Edmonton and serve customers throughout Western Canada.

We are currently looking for a Transload Administrator to join our team at our Acheson facility.

About the Role

The Transload Administrator supports the day-to-day operation of our transload and warehouse facility by coordinating receiving and shipping activities, maintaining accurate inventory and operational records, supporting customer requirements, and ensuring documentation is completed accurately and efficiently.

This is an in office role that combines office administration with warehouse and operational support. The successful candidate will work closely with Operators, Labourers, Drivers, customers and terminal leadership to support safe, accurate and efficient transload operations.

Key Responsibilities

- Coordinate inbound and outbound freight activities.
- Process receiving and shipping transactions accurately within warehouse and operating systems.
- Maintain accurate inventory records and assist with inventory reconciliation.
- Verify freight quantities, product descriptions, shipping documentation and customer requirements.
- Investigate and escalate inventory discrepancies, shortages, damages or other operational concerns.
- Maintain accurate operational documentation to support customer billing.
- Compile and validate transload activity records, inventory transactions, labour records,



storage charges and other billable services.
- Prepare complete operational billing documentation for submission to Finance.
- Assist Operators, Labourers, Drivers and customers with operational requirements and information.
- Coordinate documentation required for inbound and outbound shipments.
- Maintain accurate system updates, customer documentation and operational records.
- Prepare and distribute reports, shipping records, inventory information and operational data as required.
- Communicate effectively with customers, drivers, operations personnel and leadership.
- Coordinate information between warehouse operations, dispatch, sales, customer service and leadership.
- Support warehouse organization, inventory control and operational accuracy.
- Follow all OCTS safety policies, procedures and operational standards.
- Report hazards, incidents, damages and operational concerns promptly.
- Participate in cross-training and continuous improvement initiatives.
- Perform other duties as assigned.

Qualifications

- 2–3 years of experience in warehousing, logistics, inventory control, administration, customer service or operational coordination.
- Experience with inventory management systems, operational databases, customer documentation or billing processes is preferred.
- Strong organizational and multitasking skills.
- Strong attention to detail and accuracy.
- Strong problem-solving skills.
- Excellent written and verbal communication skills.
- Strong customer service skills.
- Proficiency with Microsoft Office applications.




- Ability to work effectively in a fast-paced operational environment.

Requirements

- Valid driver’s licence with a clean driving abstract.
- Reliable transportation to and from our Acheson location is required, as public transportation is not available.
- Comfortable working both indoors and outdoors in varying weather conditions.
- Ability to support operational requirements, including occasional overtime and schedule adjustments as required.
- Forklift and/or equipment operating certification is considered an asset.
- Previous inventory management or warehouse experience is considered an asset.

What Success Looks Like

You will be successful in this role if you are organized, accurate and comfortable balancing administrative responsibilities with the changing priorities of a busy operational environment. You will play an important role in keeping inventory records accurate, documentation complete, customer requirements communicated and transload activities properly captured for billing.
