Position Summary

The Lead Project Coordinator provides leadership, guidance, and support to the Project Coordination team while assisting with the coordination of electrical projects across the company. This role works closely with the Service Coordinator, Fire Alarm/Elevator Modernization Coordinator, Project Managers, field teams, and management to ensure projects and administrative processes are organized, communicated, and completed efficiently.

The ideal candidate will have a strong electrical or construction background and be comfortable with electrical and construction terminology, project documentation, scheduling, permits, change orders, materials, and day-to-day project communication.

This position provides leadership and oversight across the coordination function while supporting the individual coordinators in their respective areas. The Lead Project Coordinator will provide direction, backup, and overflow support when needed, while allowing each coordinator to maintain ownership of their assigned department and projects.

Key Responsibilities

Team Leadership & Coordination

- Provide day-to-day leadership, guidance, and support to the Project Coordination team.
- Work closely with the Service Coordinator and Construction Administrator to help prioritize workloads and meet deadlines.
- Assist with training, onboarding, and development of Project Coordinators.
- Provide backup and take on overflow coordination tasks when workload or project demands require additional support.
- Identify workload challenges, bottlenecks, and opportunities for improvement and bring solutions forward to management.
- Maintain clear communication between Project Coordinators, Project Managers, field staff, management, and other departments.
- Help establish consistent processes, procedures, and standards across the coordination team.

Project Coordination & Administration

- Support the coordination of electrical projects from award through completion.
- Assist with project scheduling and coordination across the general electrical, fire alarm, and elevator modernization departments, while respecting the individual coordinator's ownership of their assigned work.
- Assist with permits, inspections, documentation, and other project requirements.
- Prepare, maintain, and organize project documentation, including contracts, permits, schedules, change orders,



purchase orders, progress reports, and closeout documents.
- Monitor project timelines and follow up on outstanding items to keep projects moving forward. Handle day-to-day email correspondence and follow-ups related to project coordination.
- Assist Project Managers and Coordinators with administrative and organizational tasks as required.

Change Orders & Cost Management

- Prepare, track, and coordinate change orders throughout the project lifecycle.
- Ensure changes in scope are properly documented, communicated, approved, and tracked.
- Assist with reviewing the impact of changes on project schedules, materials, labour, and costs.
- Support project billing, including progress billing and holdback billing, as required.
- Help identify potential cost or scheduling issues and bring them to the attention of the appropriate Project Manager.

Materials, Parts & Vendor Coordination

- Coordinate the ordering and availability of parts, materials, and equipment required for projects. Follow up with suppliers and vendors regarding pricing, availability, lead times, and deliveries.
- Monitor material requirements and identify potential shortages or delays before they impact the project schedule.
- Coordinate with Project Managers and Project Coordinators to ensure materials are available when required.
- Assist with resolving material or supplier-related issues.

Scheduling & Department Support

- Provide scheduling support across the electrical, fire alarm, and elevator modernization departments when required.
- Assist with coordinating manpower, site requirements, inspections, materials, and project timelines.
- Help identify scheduling conflicts and coordinate solutions with the appropriate Project Manager or Coordinator.
- Provide additional coordination support during periods of high workload, vacation coverage, or staff shortages.
- Maintain the established responsibilities and ownership of the Service Coordinator and Fire Alarm/Elevator Modernization Coordinator while providing support as needed.

Systems & Continuous Improvement

- Learn and understand existing company systems, software, processes, and workflows.
- Identify opportunities to improve efficiency, communication, organization, and accountability within the coordination department.
- Develop and implement new systems, processes, templates, and tracking methods when existing processes are not meeting operational needs.
- Work with management and team members to ensure new processes are practical, clearly communicated, and consistently followed.
- Help ensure the coordination team is working with accurate and up-to-date information.
- Stay current with industry practices, electrical construction processes, and tools that may improve project coordination.

Communication & Relationship Management

- Maintain professional and timely communication with clients, suppliers, subcontractors, employees,



Project Managers, and management.
- Follow up proactively on outstanding information, approvals, materials, schedules, and documentation.
- Ensure important project information is communicated to the appropriate people in a timely manner.
- Assist in resolving coordination issues and escalate matters to the appropriate Project Manager or manager when required.

Project Closeout

- Assist with project closeout requirements, including final documentation, inspection records, warranties, manuals, and other required paperwork.
- Ensure outstanding administrative items are followed up and completed.
- Assist Project Managers and Coordinators with final billing and project documentation.
- Help identify lessons learned and opportunities to improve future projects.

Qualifications & Experience

- Electrical construction background or significant experience working within the electrical industry.
- Strong understanding of electrical and construction terminology, processes, and documentation.
- Previous experience leading, supervising, or managing a team or department.
- Demonstrated ability to coordinate multiple projects and priorities simultaneously.
- Robust organizational, time-management, and follow-up skills.
- Comfortable learning new software, systems, and processes.
- Demonstrated ability to identify problems and develop practical solutions.
- Strong written and verbal communication skills.
- Ability to work independently while also providing leadership and support to a team.
- Strong attention to detail and accuracy.
- Experience with permits, scheduling, change orders, purchasing, and project documentation is an asset.

Reporting Structure

The Lead Project Coordinator reports to management and works closely with Project Managers and department leads.

The Service Coordinator and Construction Administrator retain ownership of their respective day-to-day responsibilities, projects, and departmental coordination. The Lead Project Coordinator provides leadership, support, oversight, and backup to these positions and assists with workload management and process improvement without unnecessarily duplicating or taking over their roles.

Pay: $70,000.00-$80,000.00 per year
