Visage is Winnipeg's physician-led cosmetic and facial plastic surgery group. Today one coordinator carries the consult pipeline for surgery, hair restoration and much of our non-surgical business. Every inquiry that waits, waits on them. You are the second coordinator: you'll train under our Surgical Patient Coordinator, take over non-surgical and hair restoration, and become the second person in the building who can carry a patient from a web form to a paid booking.
What you'll do:
- Own speed to lead. Web forms, phone, text and Instagram inquiries for non-surgical treatments and hair restoration get a real human response the same business day. You qualify the inquiry and book the consultation in Zenoti.
- Run the discovery call. Learn what the person wants, what's driving it, their budget and their timeline. Explain what a consultation involves and what happens after. You describe options at the level a coordinator should; clinical recommendations come from the provider.
- Quote and close. Build treatment quotes from the price list, walk patients through Beautifi financing, collect deposits and convert consultations into booked treatments and procedures.
- Follow up until there's an answer. Unbooked inquiries and unconverted quotes are worked on a set cadence in the CRM. No lead sits without a next action.
- Coordinate the patient's path. Pre-treatment instructions, paperwork and confirmations before; a clean handoff to the clinical team on the day; a check-in and rebooking conversation after.
- Keep the record clean. Every lead, call, quote and outcome is logged in the CRM and Zenoti, so the practice can see its own funnel and your commission is never in dispute.
- Back up surgical. Learn the surgical coordination flow,
including pre-payment and OR scheduling, and cover it when the Surgical Patient Coordinator is away. Bookings you make while covering pay commission the same as your own.
Who we're looking for:
- Two or more years in a sales or consultative booking role where you were measured on conversion. Aesthetics, dental, fitness, luxury retail, hospitality and inside sales all count.
- Real comfort on the phone all day, and the ability to ask about budget and timeline without flinching or pushing.
- Organization to a fault: a follow-up cadence you actually keep, and a CRM you keep honest.
- Discretion. You'll handle personal health information under Manitoba's Personal Health Information Act, and it stays inside the clinic's systems.
- A Winnipeg home base. The role is hybrid: in the clinic for consultation days and team time, at home for call blocks and follow-up.
It helps if you have:
- Experience in medical aesthetics, cosmetic surgery, hair restoration or dental.
- Zenoti, GoHighLevel or a similar CRM.
- A second language spoken in Winnipeg.
