Position - Office Admin & Support
College of Emmanuel & St. Chad
The College of Emmanuel & St. Chad College (ESC) is committed to the development church leaders on behalf of Anglican Church of Canada (ACC), spanning the 9 Dioceses plus 1 Spiritual Territory that comprise the Ecclesiastical Province of Northern Lights (EPNL). In this role, the ESC is embarking on an exciting new chapter in its history focused on the development and delivery of online and/or hybrid formational programs from its new facility based in Saskatoon.
As part of its responsibilities to its constituency, the ESC is now recruiting for the full-time continuing position of Manager, Administration to support three key areas of activity: administration support to the College, oversight of Registrar recordkeeping on behalf of the college’s student body as well as day-to-day liaison with those responsible for financial record keeping by the college. The duties of the position include:
General Administrative Support to the College
The College’s mission is directed to supporting and developing theological education for the EPNL’s mission. The successful candidate will co-contribute to the college’s mission relating to the strategy, planning, management and delivery of courses. This will include providing general administrative support including document management and organization, routine communication support (telephone; computer), filing and general office workflow. The successful candidate will ideally offer demonstrated experience in the use of general office computer applications (e.g. MS365 suite) in a PC environment, as well as a demonstrated aptitude to adopt new office automation and tools with appropriate training. The candidate will be asked to provide a support role to:
· Ensure a positive and effective teamwork environment among the College faculty and administrative personnel in the development and implementation of the College’s vision;
· Assist in communicating the colleges activities, procedures and policies to faculty, staff and its governing bodies (Council and Senate);
· Advise the Council on necessary updates to policies and procedures contained in the ESC Staff Handbook;
· Recruit, train, motivate and supervise faculty and staff to ensure that the College, ACC, particularly EPNL objectives are met together with a high degree of team member satisfaction;
· Over time, assist in the evaluation of employees with appropriate responses as needed, in accordance with Policies & Procedures established by the College Council.
· Work collaboratively within the College community and the EPNL to translate the Council’s vision for the College into agreed objectives and operational plans that will promote and sustain excellence in training future church leaders;
· Embrace the Council and College’s vision and values and incorporating them into everyday work and practice;
· Provide strategic advice and support to the Council with a view to strengthening academic learning, improving educational delivery across the EPNL and taking the lead in creating a climate of learning and spiritual formation;
· Assist the Office of the Principal in representing the College and Council at external and internal events as may be required.
· Support the maintenance of effective external relationships with local, regional and national agencies and other entities comprising the EPNL.
Financial Administration
As a senior member of the College staff, (s)he will help ensure the establishment of clear lines of financial responsibility and reporting. This will primarily involve providing the College bursar and bookkeeper with such information as may be required to enable compilation of the College’s financial statements; implementation of financial planning; and implementation of audit and financial reviews, projects and strategies for the cost-effective management of College affairs. Prior experience with QuickBooks™ accounting software and general accounting principles will be an asset within the candidate’s spectrum of interest and abilities.
Administration of College Registrar Data
As a member of the College’s staff, the successful candidate will participate in the management of the College by overseeing the input, management and reporting of data relating to student registrations of the College. This responsibility will make effective use of computer applications (ampEducator™) for which training and orientation will be provided. Prior experience with Student Information Systems software and/or Learning Management Systems would be an asset. The duties of registrar are directed to the benefit of the college’s students, for whom the successful candidate will assist to:
· Ensure the quality of the student experience at the College, including:
· measures of student satisfaction;
· innovation in continuing education and contextual theological education of laypersons;
· supporting and developing the students’ spiritual and leadership formation;
· providing a mentoring environment for all students;
· student representation, including liaison with the Students’ Association;
· equity and diversity issues;
· Assist the Principal and staff to co-ordinate the development of excellence around teaching and learning by supporting staff and sessional lecturers to manage the assessment of learning and helping to ensure that the College is “inspection ready” and committed to continuous enhancement;
· Attend on-site weekly services of the College where feasible, and to support the liturgical practices of the ACC.
Conditions of Employment, Remuneration and Advantages
The position of Manager, Administration is envisaged as a full-time, continuing position with the following general terms and features:
· The position is full-time, comprising a flexible 37.5 hr work week spanning Monday to Friday during ‘normal’ office hours between ~8:30AM – 4:00PM;
· The position will commence with a 6-month orientation and probationary period, during which the candidate’s aptitude in the position will be assessed and communicated;
· The position will include:
o Remuneration commensurate with experience, suitable for a mid- to senior-level vocation;
o A benefits package administered under the auspices of the Anglican Church of Canada that includes provision for supplementary medical, dental and pension;
o No-cost daily electrified parking on-site;
o Three or four weeks of paid annual vacation leave (subject to candidate experience and background), to be scheduled in cooperation with and subject to the approval of the college Principal;
o Provision for all statutory holidays mandated by the employment standards operating in the province of Saskatchewan;
· The position may, at the discretion of the college, involve short periods of travel or local out-of-office duties at the college’s expense, in support of the college’s outreach activities.
The interview of candidates is planned to commence in October of 2026, and will continue until a suitable candidate is identified The position begin as soon as possible thereafter.
Pay: $25.00-$27.00 per hour
