Reporting to the Assistant Registrar, with the functional supervision from the Undergraduate Admissions and Articulation Coordinator, the Admissions Assistant plays a key role in facilitating the admission of students to the University. The position will often be the first point of support for applicants during the applicant cycle, working closely and collaboratively with the Admissions Officers.

The Admissions

Assistant will also be responsible for developing content for the website, Customer Relationship Management (CRM) systems, and ongoing maintenance.

Responsibilities

Duties include but are not limited to:

- Responding promptly to a large volume of in-person, written, and verbal enquiries from prospective students, applicants, and recruitment agents regarding admissions activities such as program requirements, documentation requirements, admission statuses, and program start dates;
- Promoting a positive work atmosphere by interacting and communicating in a professional manner that demonstrates mutual respect with students and colleagues
- Preliminary reviewing of applications and determining documentation requirements for each applicant, monitoring readiness for evaluation;
- Data entry activities, which includes tasks such as: entering paper admission applications, high school courses, transfer credits, etc.;
- Authenticating documents and receiving them in Banner, SharePoint/BDM;
- Maintaining student record data in the student information system;
- Supporting the applicant experience by creating content for different mediums (CRM communications, websites);
- Providing training and/or developing documentation;
- Providing functional expertise for user testing for technical project implementations
- Providing backup support, as required, for other duties during peak periods and special projects; and
- Adhering to University and legal requirements regarding the privacy and confidentiality of student information and records.

Qualifications The successful candidate will possess the following:

- A minimum two-year certificate or diploma in a relevant field; and
- A minimum of 2 years’ experience in an administrative or clerical position in a high-volume, customer-oriented organization; preferably in a post-secondary environment.

An equivalent combination of education and experience will be considered.

Relevant equivalent experience must demonstrate:

- Working knowledge of reporting tools, complex relational database applications, and CRM systems;
- Strong work history in a customer service focused environment with multiple stakeholders;
- Demonstrated ability to build and develop relationships;
- Excellent attention to detail while maintaining a big picture perspective;
- Multitasking and working under high pressure with conflicting deadlines and priorities;
- Excellent teamwork skills; and
- An understanding of and commitment to equity, diversity and inclusion principles.

Knowledge, Skills and Abilities The following is considered essential for success in this position:





- Advanced customer service skills including experience working with people from diverse backgrounds;
- Detailed knowledge of post-secondary operations, program offerings, and admission/registration policies and procedures;
- Advanced knowledge of Microsoft Office suite (including Word, Outlook, Teams, Excel and SharePoint);
- Working experience with a complex student information system and other reporting systems such as Banner, ARGOS, EPBC, FAST, TargetX/Salesforce (or another CRM product);
- Strong organizational skills and the ability to analyze, research, and interpret information
- Excellent written and verbal communication skills;
- Ability to work independently and as an active member of an integrated team in a busy and challenging setting with multiple changing deadlines;
- Ability to problem solve, work under pressure, and maintain a high level of accuracy
- Strong understanding, and an ability to effectively demonstrate, cross-cultural communication;
- Ability to exercise tact, discretion, good judgement, and diplomacy;
- Exceptional critical thinking skills with a demonstrated competence in solving problems and anticipating outcomes; and
- Understanding of the Freedom of Information and Protection of Privacy (FIPPA) as it relates to student records, as well as the ethical and confidentiality guidelines of the institution.

Salary

This position has been classified as Grade 7. The annual salary range for this position is $62,644.40 to $65,228.80 and the normal starting salary will be 62,644.40, prorated based on length of the term.

Normal hours of work will be 8:30am – 4:30pm, Monday through Friday.
