Bar Concierge & Patient Experience Coordinator

Smile BAR is looking for a warm, organized and creative Bar Concierge & Patient Experience Coordinator to help us deliver an elevated, hospitality-first dental hygiene experience.

This is not a traditional dental reception role. You will be the person who brings the Smile BAR experience to life. From welcoming guests and preparing coffee's mocktails to maintaining our oxygen bar, creating thoughtful patient touches and ensuring every part of the space feels polished and inviting.

- MUST be a people person. High energy, outgoing, friendly, comfortable engaging and maintaining conversation with guests
- Highly organized and able to manage recurring responsibilities independently
- Detail-oriented, you notice when something is empty, dusty, misplaced or unfinished
- Creative and excited by mocktails, seasonal displays and memorable guest experiences
- Reliable, proactive and comfortable taking ownership of your area
- Able to balance hospitality with cleaning, stocking and administrative responsibilities
- Comfortable working in a healthcare environment and maintaining guest privacy
- Available to work Monday-Friday, some Saturdays

Experience in hospitality, guest services, retail, restaurants, spas, hotels or dental administration is an asset, but the right personality and work ethic matters most.

Guest Experience

- Warmly welcome guests and help them feel comfortable from the moment they arrive




- Check guests in and communicate when they are ready for their appointment
- Offer and prepare coffee, mocktails and other beverages
- Introduce guests to the oxygen bar, massage lounge and comfort menu
- Prepare new-guest welcome bags and monthly giveaway entries
- Provide whitening and tooth-gem guests with the appropriate aftercare materials
- Help create thoughtful, personalized moments for nervous patients and children
- Assist with whitening and tooth-gem photographs when required

Bar and Lounge

- Take ownership of the presentation, organization and cleanliness of the bar
- Create seasonal mocktails, drink specials and oxygen-bar blends
- Maintain the coffee machine, bar fridge, glassware, ice and beverage supplies
- Keep the massage lounge sanitized, stocked and guest-ready
- Refresh drink menus, oxygen-bar offerings and seasonal displays
- Help keep the space feeling fresh, elevated and unmistakably Smile BAR
- Product knowledge and Retail selling

Inventory and Ordering

- Complete monthly inventory throughout the clinic
- Monitor retail products, patient gifts, whitening products, printed materials and bar supplies
- Place approved orders and maintain organized purchasing records
- Track items used for giveaways or complimentary guest experiences
- Print and submit receipts and invoices for bookkeeping




- Keep whitening pamphlets, tooth-gem care cards, business cards, welcome cards and gift cards stocked

Clinic Upkeep

- Maintain high standards throughout the bar, lounge, bathroom and shared guest areas
- Restock paper products, toys, fidgets and comfort items
- Turn televisions, fireplaces and other guest-area equipment on and off as required
- Assist with seasonal décor and prize-bar refreshes

Thoughtful Details

- Prepare referral and thank-you cards
- Help recognize staff birthdays and special occasions
- Review upcoming events and celebrations
- Coordinate monthly guest giveaways with the marketing team
- Bring forward creative ideas that improve the guest experience
