Job Title: Executive Assistant, Office Manager.

The Executive
Assistant & Office Manager will serve as a trusted administrative partner to executive leadership while coordinating office operations, meetings, reports, events, communications, vendors, and other activities that help keep the organization running effectively.
Reports To: President & CEO.
Location: 2555 Grasswood Road East, English River First Nation #192J; adjacent to Saskatoon, SK.
Key Executive Responsibilities:
- Handle sensitive and confidential information with professionalism, discretion, and sound judgment.
- Assist the CEO by managing personal calendar, meeting requests, correspondence, email management, organizing and coordinating travel arrangements, rentals, accommodations, event attendance and expense management and general support.
- Organize, secure and set-up meetings (refreshments, catering, food, audio-visual set-up (A/V).
- Coordinates Executive, Board, Finance, and Audit meetings, maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support the President’s agenda
- Prepares and distributes agenda items, takes meeting minutes and tracks minutes for follow up items.
- Reviews documents, reports, and correspondence for format, content, grammar, and spelling and makes updates as necessary.
- Ensure CEO calendar and vacation schedules are up to date.
- Coordinate leadership and other key meetings, including preparing agendas and materials, scheduling participants and their travel arrangements,
recording minutes or action items where required, and supporting timely follow-up.
- Assist the executive on communicating and coordinating with English River First Nation shareholders.
- Working with other executives and leaders, assist with the administration, collection and compilation of information for monthly and quarterly meetings.
- Document preparation, presentations, expense reporting, and follow-up on priorities and commitments.
- Work within multiple systems SharePoint, being champion and having responsibility for its document management, record retention system.
- Coordinate with vendors and organizers on events (conference, speaker engagements, off-site meetings, leadership sessions, internal and external board meetings, holiday party, tradeshows etc.)
Key Office Manager Responsibilities:
- Act as a central point of contact for employees, visitors, vendors, and external stakeholders and help resolve routine office and administrative matters.
- Oversee the day-to-day operation of the office, ensuring a professional, organized, efficient, and welcoming workplace.
- Coordinate office supplies, facilities requirements, equipment, vendors, service providers, couriers, building contacts, and other administrative service.
- Support workplace initiatives, office moves, technology/equipment coordination, onboarding logistics, and other operational requirements.
- Prepare and maintain documents, records, contact lists, administrative procedures, and shared information.
- Identify opportunities to streamline processes, improve organization, and strengthen the overall employee and executive experience.
- Provide other general administrative support as required.
Education and Experience:
- Bachelor’s degree or College diploma. Equivalent combination of education and experience will be considered.
- Strong proficiency within Microsoft Office suite of products.
- Minimum five (5)
years providing support to executive or senior management.
- Experience working for or with Indigenous organizations or institutions, First Nations an asset.
Capabilities:
- Previous experience providing senior-level executive administrative support, office management, or a combination of both.
- Excellent attention to detail, strong time management skills capable of managing multiple priorities and deadlines.
- Demonstrated professionalism and discretion when working with confidential or sensitive information.
- Ability to anticipate needs, solve problems, and work independently with limited direction.
- Strong interpersonal skills and a cooperative, service-oriented approach and ability to professionally relate and converse with various stakeholders.
- Experience coordinating large functions, group events, meetings, travel, and office functions.
- Ability to deal with shifting priorities in a high workload.
- Strong organizational skills, attention to detail required.
- Must be able to work independently and in team environment.
- Take initiative, be proactive, be solution orientated and innovative.
