Position Description
The IT Services Office Coordinator provides administrative, operational, and customer service support to the IT Services department, reporting directly to the Director of IT Services. This position serves as a central coordination point for departmental activities, facilitating communication, managing administrative processes, supporting operations activities and departmental budget administration, coordinating procurement activities, and ensuring the efficient operation of the IT Services office. The IT Services Office Coordinator works closely with IT Leadership, IT staff, university departments, internal stakeholders, and external vendors, to support the delivery of technology services across the organization. The role requires strong organizational skills, attention to detail, discretion in handling confidential information, and the ability to manage multiple priorities in a dynamic environment.
The IT Services Office Coordinator supports departmental planning and financial reporting activities, maintains records and documentation, coordinates meetings and communications, assists with contract renewals and asset management processes, and contributes to continuous improvement initiatives within IT Services.
Key Responsibilities
Administration
- - - Maintains and coordinates annual IT Services calendar of recurring administrative and operational activities.
- Coordinates and schedules recurring and ad hoc IT Services leadership & departmental meetings.
- Attends ITS team meetings, keeping records of progress and actions.
- Assists with IT Services employee recruitment and hiring process as required.
- Coordinates annual professional development planning for department, including tracking of related employee expenditures.
- Manages ITS spaces and arranges facility bookings as required.
- Assists in the development, documentation and implementation of office procedures.
- Organizes ITS events, training sessions, and presentations.
- Maintains office and kitchen supplies and some equipment.
- May maintain and report on time tracking data for IT Services Leadership team.
Project Support
- - - Participates in the maintenance of the ITS project portfolio, resource tracking and reporting processes.
- Assists with documentation and coordination of annual IT planning and review processes.
- Provides support for (some) internal (ITS) projects as needed or required.
IT Operations Support
- - - Provides comprehensive support to IT leadership for departmental budgets including tracking invoices and spending, reconciliation, reporting, bi-annual fiscal projections, future fiscal budget submissions.
- Supports IT Services vendor management, contract & license management activities for technology services, hardware, software.
- Supports IT asset management program and related activities.
- Coordinates with Procurement for staff, faculty and research computer purchases.
- Liaises with other department around campus events requiring ITS support.
- Coordinates Cybersecurity Awareness Month (CAM) preparation and participates in CAM planning.
- Is a member of the university's cyber incident response team (CIRT)
- May coordinate and deliver ITS communications through social media, email, newsletters, etc.
- May assist with conducting IT market research and produces reports for IT leadership.
Qualifications/Skills
- A vocational diploma or university degree.
- Excellent relationship building skills with a focus on professionalism and quality control.
- Excellent time management, organizational skills, and planning/forecasting skills.
